Workiz Login Help for Owners, Dispatchers, and Technicians

Workiz users sign in through the companyโ€™s web application or official mobile app with the credentials attached to their team profile. When login succeeds but jobs, financial details, or settings remain unavailable, the userโ€™s assigned role is often the first thing an account administrator should inspect.

Workiz is field service management software for businesses that schedule appointments, dispatch technicians, manage client records, prepare invoices, process payments, and coordinate field operations.

Start at the Workiz Web Application

The documented browser route is app.workiz.com. Workiz instructs users to enter their username and password, select Log in, and provide a one-time passcode when that extra security step is active.

Use that route first.

A broad web search can return the main marketing site, Help Center articles, integration pages, customer portals, and unrelated websites that include โ€œWorkizโ€ in their names. Those pages may be useful for information, but they are not interchangeable with the company-user login.

The mobile route begins in Appleโ€™s App Store or Google Play. Download the Workiz mobile application, open it, and use the same account credentials assigned by the business. The app is designed for field-service work such as reviewing jobs, communicating with customers and office staff, managing invoices, and handling other authorized tasks away from the office.

Do not create a replacement account because an existing login failed. A second profile can leave the employee in the wrong workspace or without the intended permissions.

New Employees Need a Team Profile

A technician cannot necessarily enter a companyโ€™s Workiz workspace simply by downloading the app. An authorized person must add that worker to the business account.

Workiz documents the team-management path as profile icon > Manage team > Add new. The administrator then chooses the type of team member being added, such as a user or subcontractor. Workiz notes that these account types can differ in seat usage and access.

That choice deserves attention. Do it before assigning permissions.

A regular user generally receives access to the company account according to the role selected by the administrator. A subcontractor may be intended for a narrower working relationship. The exact setup should reflect how the person will use Workiz rather than the employeeโ€™s informal job title.

After adding someone, the administrator should confirm four details:

  • The login email is spelled correctly.
  • The appropriate team-member type was selected.
  • The user has the intended role.
  • The user can reach the mailbox connected to the profile.

Workiz states that the email stored for a user with account access is used for login and receives password-reset messages. A typo at this stage can later appear to be a broken invitation, failed password recovery, or nonexistent account.

Workiz User or Subcontractor?

Workizโ€™s current team-addition documentation asks the administrator to select the type of person being invited, including options such as user and subcontractor. The comparison shown by Workiz indicates that the selected type affects account access and whether the person counts toward seats.

This is not merely an internal label.

A company employee who needs routine access to scheduling, clients, jobs, or administrative functions may require a user profile with a suitable role. A subcontractor who only needs limited operational access may be configured differently. The precise arrangement depends on the companyโ€™s Workiz plan, staffing model, and access policy.

Owners should decide what the person must do inside the platform, then assign the lowest practical level of access that permits those tasks. Skip broad administrator permissions for technicians who only need their assigned work.

If the wrong type was selected, the user may successfully log in while seeing an interface that does not match the managerโ€™s expectations. That is an account-configuration issue, not proof that the mobile application is defective.

Reset a Forgotten Workiz Password

A logged-out user can open the Workiz login screen and select Forgot password? Workiz then asks for the login email and displays a RESET PASSWORD action. When the entered address matches an account in its system, Workiz sends instructions for changing the password.

Check the mailbox tied to the Workiz profile, not every company address the employee happens to use. Review filtered and spam folders as well.

Avoid submitting the form repeatedly. Several messages may arrive, and an older reset link may no longer be the useful one.

A person who is already signed in can change the password from inside the account:

  1. Select Team in the navigation bar.
  2. Open the user profile.
  3. Select Reset password in the upper-right corner.
  4. Enter the current password.
  5. Enter the replacement password.
  6. Select Change.

These are two separate situations. The internal reset route assumes that the user still has an active session and knows the current password; the login-screen recovery route is intended for lost access.

An Administrator Can Trigger the Reset

Workiz provides a management action for resetting another team memberโ€™s password. The documented route is profile icon > Manage team, followed by the affected user and Actions > Reset password. Workiz sends that person an email link for setting a new password.

The administrator does not need to know the old password.

This process is useful when an employee cannot find the recovery option, is uncertain which login email belongs to the profile, or needs the company to confirm that the correct user record is being handled.

A reset will not solve an inaccessible mailbox. When the profile points to an old address, an authorized user may need to update the Workiz login email first.

Workiz says changing that email requires the User settings permission. The administrator updates the Email field under the userโ€™s details and confirms the change with Yes, make change. Workiz then sends a password-reset link, and the recipient must change the password to complete the email update.

Do not skip that final reset. The edited field alone does not complete the process described by Workiz.

Login Works, but Jobs Are Missing

Workiz allows administrators to restrict a user to jobs assigned specifically to that person. Its documentation explains that field technicians do not always need visibility into jobs assigned to other team members.

That restriction can create an apparently empty schedule.

Before reporting missing records, check whether:

  • The technician was assigned to the job.
  • The profile is limited to assigned jobs.
  • The dispatcher assigned a different technician.
  • The user opened the correct company workspace.
  • A filter is narrowing the visible job list.

An owner or dispatcher may see the entire schedule, while a technician sees only two appointments. Both views can be correct.

This is a useful hands-on distinction: when one technician can see a job and another cannot, compare the job assignment and role settings before changing passwords or reinstalling anything. When no one can find the job, inspect whether it was created, canceled, moved, or entered under another client.

Workiz separately documents assigning team members to existing jobs, so a job may exist without yet being attached to the technician expecting to receive it.

Why Settings or Dashboard Widgets Disappear

Workiz permits companies to customize team roles and permissions. Administrators can assign existing roles, change their permissions, and create additional roles for different responsibilities.

Dashboard access can also be limited. Workiz says permissions may restrict the whole dashboard or individual widgets.

A missing option may therefore be deliberate.

This commonly affects account settings, financial information, dashboard reports, credit-card actions, job-closing controls, and advanced features. Workizโ€™s user documentation contains separate controls for restricting financial data, limiting assigned-job visibility, preventing technicians from closing jobs, and deciding whether technicians may charge cards.

Check the role first, skip random troubleshooting.

For example, Workiz notes that users who cannot see certain Feature Center options may lack the Account Settings permission. Its documentation tells those users to ask an account administrator to enable the relevant permission for their user type.

A browser refresh cannot create authorization that the account does not have.

Browser, Mobile App, or Account?

Use comparison testing rather than changing several things at once.

Try the web application in a current browser. When it works there but fails in the mobile app, check for an app update, fully close and reopen the app, and test another internet connection. When the mobile app works but the browser does not, open a private browsing window and temporarily disable extensions that interfere with scripts, cookies, or authentication.

When both routes reject the credentials, return to password recovery and the stored login email. When both routes accept the login but show the same limited tools, investigate permissions.

The pattern matters:

  • One device fails: likely device, application, browser, or network.
  • Every device rejects login: likely credentials, profile, or authentication.
  • Login succeeds with missing tools: likely role or feature access.
  • Only assigned jobs appear: likely job-visibility restrictions.
  • Several coworkers fail at once: possible shared account or service issue.

These are diagnostic categories, not guarantees. The source of a failure can vary by device, account configuration, and region.

Record the exact message shown on screen. โ€œPassword incorrectโ€ and โ€œpage will not loadโ€ point in different directions.

Keep Workiz Pay Access Separate

Workiz also offers Workiz Pay for payment processing. Main Workiz access does not automatically mean every team member can view payment information or change banking settings.

Workizโ€™s team-management materials include controls concerning financial visibility and whether technicians may charge credit cards.

Bank-account changes require particular care. Workiz has a separate documented procedure for changing the business bank account linked to Workiz Pay, and that process includes entering the Workiz account password.

Use only the authenticated account and official instructions for this action. Do not follow banking-change directions from an unexpected message, and never send a password or one-time code to another person.

A technician who cannot see Workiz Pay should ask the owner or authorized administrator whether the limitation is intentional. Do not assume payment access comes with ordinary job access.

Contact Workiz With a Useful Error Report

Workiz maintains an official Help Center for login, team management, permissions, mobile use, payments, and related account tasks. Its main website also provides a contact route for existing customers and businesses evaluating the platform.

Prepare a compact report containing:

  • Company or workspace name
  • Affected userโ€™s name
  • User type and assigned role, when known
  • Web or mobile device
  • Exact error wording
  • Approximate time the problem began
  • Whether password-reset email arrived
  • Whether other team members are affected
  • Steps already completed

Do not provide the password, one-time passcode, full card information, banking credentials, or private customer records.

An administrator should handle role and invitation issues inside the company account before escalating. A user locked out because the company entered the wrong email will generally need an account-record correction, not generic browser advice.
