A small plumbing, locksmith, appliance-repair, carpet-cleaning, junk-removal, or similar operation might use Workiz to receive a service request, create a job, assign a technician, track the appointment, prepare an invoice, and record the customer’s payment. Workiz’s mobile listings specifically position the application for small and medium-sized on-demand service businesses, although the exact industries and available tools vary by plan and account configuration.

Office staff usually work from the broader browser interface. Field technicians may rely more heavily on the mobile app for daily jobs and customer communication.

One platform, different views.

That distinction explains why a dispatcher’s screen may look nothing like a technician’s screen even when both people belong to the same company.

How to Log In to Workiz

Workiz’s official instructions direct desktop users to its web application, where the login screen asks for a username and password. When the account requires two-factor authentication, the user must also enter a one-time passcode.

The mobile process follows the same basic pattern:

A customer who lands on the regular Workiz business login should return to the email or text received from the service provider. A technician who opens a customer invoice link should instead use the company’s assigned Workiz account.

Do not create a new account merely because the current page does not recognize you. Confirm which side of the platform you need.

This wrong-page problem is easy to misdiagnose as a forgotten password.

Resetting a Workiz Password

A signed-in user can change a password from the Team area. Workiz documents the following sequence:

  1. Select Team from the navigation bar.
  2. Open your user profile.
  3. Select Reset password in the upper-right corner.
  4. Enter the current password.
  5. Enter the new password.
  6. Select Change.

That procedure applies when the user can already access the account. Someone locked out at the login screen should use the password-recovery option presented there.

The recovery message must reach the email associated with the Workiz user profile. If no message arrives, check filtered folders and confirm that the company still has the correct login email on file. Repeatedly requesting new messages can add confusion because several reset links may arrive out of order.

An administrator may need to intervene when the profile contains an old company address, a misspelling, or an inbox the employee can no longer open.

Prioritize the email record. Browser troubleshooting will not correct an outdated account address.

Workiz Verification Codes and 2FA

Workiz supports two-factor authentication for individual users or an entire company account. Once enabled, login requires the normal password and a verification code sent to the user.

Workiz states that the verification code is sent by text message first. When email verification has been enabled as a backup, the option to resend the code by email appears after 60 seconds; email cannot serve as the primary delivery method under the documented process.

This produces several concrete failure points:

  • The profile contains an old phone number.
  • The saved email address is inaccessible.
  • The phone cannot currently receive text messages.
  • The user expects the code by email immediately.
  • The administrator enabled 2FA before checking each employee’s contact information.

Workiz warns administrators to review stored phone numbers and email addresses before requiring 2FA because incorrect contact details can prevent team members from logging in.

Wait for the documented resend option rather than restarting the login every few seconds. Enter only the newest code, and never send a verification code to a person claiming to be support.

Primary account administrators can also receive notifications when a user changes the phone number used for verification. Workiz records 2FA changes in its Activity report, giving the company another place to investigate unexpected authentication changes.

Why Workiz Looks Different for Each User

Workiz is not configured as one identical dashboard for everyone. Company administrators can assign roles and control which tools or business information a user can access.

A dispatcher may need visibility into scheduling, incoming calls, unassigned jobs, and performance data. A technician may only need assigned jobs, client details, communications, and authorized invoice actions. An owner may have financial reporting and configuration controls that neither employee can see.

The Workiz dashboard itself uses widgets to present operational and job-performance information. Whether a particular employee can view or use those areas depends on the account setup.

Check permissions first when:

  • A menu is completely absent.
  • Another employee can see financial information that you cannot.
  • A technician sees only assigned jobs.
  • Settings instructions do not match your account.
  • Payment or administrative controls are missing.

Do not reinstall the application solely because a feature is hidden. Reinstallation cannot grant a role permission.

Ask the administrator to compare your assigned role with the role of a colleague who has the expected access. The comparison should involve role configuration, not just job title; two people described as “technicians” may still have different Workiz permissions.

Separating Account, Browser, and App Problems

The most efficient troubleshooting method is to change one variable at a time.

Start with the browser application. Type the Workiz application address directly, then attempt one normal login. When the page loads but rejects the credentials, focus on the username, password, sign-in method, or account status.

When the page does not load properly, try a private browsing window. That creates a session without most existing cookies and can reveal whether stale browser data is interfering. A second current browser provides another useful comparison.

Now test mobile.

Document the exact visible error before changing anything. “Cannot log in” gives support less information than the wording shown on the screen and the point at which the process stopped.

Workiz Pay Is a Separate Account Area

Workiz Pay is the platform’s payment-processing product. Workiz describes it as a way for service businesses to collect card payments from customers through estimates, invoices, and field-service workflows.

Enabling Workiz Pay involves additional business and banking setup. Workiz says the enrollment process requires connecting the business bank account that will receive collected payments and submitting information related to the business and its representative.

Access to the main Workiz workspace does not automatically prove that Workiz Pay is active or that a particular employee can manage it. Payment settings may be limited by company permissions, account approval, regional availability, or the company’s subscription and payment configuration.

This area deserves extra caution. Bank-account changes should be completed only from the authenticated Workiz account and according to the official instructions visible there. Do not rely on emailed instructions from an unknown sender.

Getting Help From Workiz

Workiz maintains an official Help Center containing setup instructions, mobile documentation, payment guidance, integrations, account-security articles, and troubleshooting material. The support article says users can reach assistance from the chat bubble available in the Help Center or web application.

A useful support request should identify:

  • The company or workspace name
  • The affected user
  • The device and operating system
  • Whether the web application also fails
  • The precise error wording
  • The approximate time the issue began
  • Whether a reset email or verification text arrived
  • Which troubleshooting steps were completed

Do not include a password, one-time code, full payment-card information, or bank credentials.

For phone-system problems, provide the affected Workiz number and explain whether the issue involves incoming calls, outgoing calls, routing, or a particular call flow. Workiz’s troubleshooting material specifically tells administrators to verify that the number is marked as a Workiz number and assigned to a call flow.

Workiz also documents a fallback-number option for certain Workiz Phone outages. The fallback must be an external number separate from the company’s Workiz Phone numbers.
