A new Workiz user must be invited to the company account and create a password before registration is complete. Existing users can enter through app.workiz.com or the official mobile app, with an additional verification code when two-factor authentication is enabled.

Workiz is a field service management platform used for jobs, dispatching, customer records, invoices, payments, and mobile technician work. The most important distinction during onboarding is between a user who cannot authenticate and one who has entered successfully but lacks the expected role, jobs, or tools.
Adding a New Workiz Team Member
A worker does not automatically join a company’s Workiz account by installing the mobile application. An authorized administrator must add the person to the team, select the appropriate user type, assign a role, and provide an email address the employee can access.
Workiz’s current team-addition instructions say invited users must create a password before registration and account creation are complete. The administrator also selects the user’s permission level during setup.
That creates several concrete onboarding failure points:
- The invitation went to the wrong email.
- The employee has not completed password creation.
- The person was assigned an unsuitable user type.
- The selected role does not include the expected tools.
- The company has no suitable seat available under its plan.
Check those items first. Skip device troubleshooting until the account exists and registration has been completed.
The administrator should also confirm that the new employee appears in the intended Workiz company account. An invitation accepted under another email or an accidentally created profile can produce an empty workspace that looks legitimate but contains none of the employer’s jobs.
User Type and Role Are Different Settings
Workiz treats user type and role as separate decisions.
The user type determines whether the team member receives login access. Workiz’s profile documentation says more limited team-member arrangements may receive job assignments through email or text and make selected updates through a webpage without receiving the same account login as a standard user.
The role determines what a login-enabled user can see and do. Workiz lets administrators select a role while inviting the person, alter permissions for existing roles, or create a custom role for the business.
Do not confuse the two.
Changing a technician’s role will not create login access when the profile type does not provide it. Converting someone into a full user does not automatically give that person every dashboard, financial, client, or administrative permission.
Assign the narrowest access that supports the employee’s actual work. Skip administrator permissions for a technician who only needs assigned appointments and ordinary field actions.
Completing the First Workiz Login
Workiz’s browser login requires the user’s username and password. The company also documents supported Google and Facebook authentication, plus optional two-factor authentication.
For a newly invited user, complete the invitation and password-creation process before attempting an ordinary login. Workiz states that invited users must create a password before registration is finished.
The practical sequence is:
- Open the invitation sent to the profile email.
- Complete the requested password setup.
- Open the Workiz web application.
- Enter the established credentials.
- Complete the verification-code step when enabled.
- Confirm that the correct company workspace opens.
Do not start another registration flow when the first login fails. A duplicate profile can leave the employee inside Workiz but disconnected from the employer’s existing data.
Use the authentication method associated with the invited profile. Someone invited through a normal Workiz account should not assume that selecting an unrelated Google identity will reach the same workspace.
The Invitation or Setup Email Is Missing
Start with the email entered by the administrator.
Workiz uses the profile email for login-related communication and password-reset links. A spelling error, an old company address, or an inbox the employee cannot access can block both onboarding and later recovery.
Check spam, quarantine, and automated-message folders. Corporate filters may delay software-generated mail.
Do not repeatedly add the same employee under different addresses. That can create several incomplete profiles and make it unclear which account should be retained.
Instead, ask the administrator to open the user record and confirm:
- Full email address
- User type
- Assigned role
- Current profile status
- Whether the invitation process was completed
When the email is incorrect, Workiz allows users with the User settings permission to update it. The employee then receives a password-reset link through the revised address.
Resetting a Password After Onboarding
A user who has forgotten the password can select Forgot password? on the Workiz login page and enter the login email. Workiz sends recovery instructions to the address associated with the profile.
Use the newest relevant recovery message. Several requests may arrive out of order.
An administrator can also trigger another user’s password reset from the team-management area. The employee receives the reset link and chooses the replacement password personally.
The administrator does not need the old password.
This is an important security boundary. Users should never provide passwords, verification codes, or recovery links to managers, coworkers, or people claiming to be support.
A password reset is appropriate when credentials are rejected. It is not the right response when the user is already inside Workiz but lacks jobs or settings.
Workiz Verification Code Problems
Workiz two-factor authentication requires a verification code in addition to the password. Its documentation says the code is sent by text message first; email can be configured as a backup method. Administrators should make sure every user can access the contact information stored on the profile before making 2FA mandatory.
A missing code usually points to one of these issues:
- The stored phone number is old.
- The phone cannot receive SMS.
- The user is watching the wrong email inbox.
- Backup email verification was not configured.
- Delivery is delayed by the carrier or mail system.
The code screen means the login has progressed beyond the initial password stage. Do not keep resetting the password when code delivery is the actual failure.
Wait for the documented email-backup option when it is enabled. Workiz says its system attempts text delivery first.
Never forward the code. Enter it only into the Workiz screen that requested it.
Login Works but No Jobs Appear
A successful login with an empty schedule is usually an assignment or permission issue.
Workiz allows users to be restricted to jobs currently assigned to them. Its documentation also notes that client-message access can be limited to active assigned jobs, with the relevant thread becoming unavailable after the job is marked done.
Ask the dispatcher to inspect one specific job and verify:
- The job exists.
- The correct employee is assigned.
- The job status is available to the employee’s role.
- The user entered the intended workspace.
- No schedule filter is hiding the record.
Workiz roles can control which job statuses a user can access. That means a job may disappear from a particular account when its status changes, even though it remains in the company system.
Check the assignment and status first. Skip another password reset.
Login Works but Prices or Tools Are Missing
Workiz lets administrators customize roles and restrict financial data. A role can hide financial information while still allowing the employee to access the operational details needed for assigned work.
The same role system can affect client information, dashboards, messaging, job actions, and other account functions. Workiz’s user-management section contains separate controls for assigned jobs, dashboard restrictions, credit-card charging, client history, and financial visibility.
A technician who cannot see totals may have the correct configuration. A new dispatcher who cannot reach scheduling functions may have been assigned the wrong role.
Compare the affected employee with a coworker holding the same Workiz role. Do not compare informal job titles alone.
A browser reinstall cannot grant server-side permissions.
Mobile, Tablet, and Browser Access
Workiz can be used through its mobile app or browser application. Its tablet guidance says users can either install the mobile app or open the web application through a browser on an iPad, Galaxy Tab, or another Android tablet.
Use those access routes as a diagnostic comparison.
- Browser works, mobile fails: update the app, reopen it, and test another network.
- Mobile works, browser fails: try a private window and another current browser.
- Both reject the user: check invitation completion, email, password, and 2FA.
- Both open with the same missing tools: check role and permissions.
Workiz’s mobile app can display clients and support calls or messages to them when the user has the necessary access.
The app can also support job management and navigation to client addresses. Available actions depend on the company setup and user permissions.
Employee Workspace Versus Client Portal
The Workiz Client Portal is for a service company’s customers, not its employees.
Workiz says invoice and estimate messages automatically include a portal link. Customers can use that destination to review information connected to the business relationship.
A technician who opens a customer invoice link has reached the wrong interface. A customer who searches for the employee application has done the reverse.
Identify the audience first.
Employees should return to the Workiz web or mobile application. Customers should use the complete portal link supplied by the service business.
This wrong-page moment can look like a password failure even though no employee account belongs on the page.

Provide:
- Company workspace name
- Affected employee
- Profile email
- User type and role
- Web, iPhone, Android, or tablet
- Exact error wording
- Whether invitation setup was completed
- Whether password email arrived
- Whether the 2FA code arrived
- One example of a missing job or tool
Do not provide passwords, login codes, card information, banking credentials, or private customer records.
Report the failed stage precisely. “The invitation was accepted, but no password was created” is different from “login works, but completed jobs disappear.”
