Workiz is field service management software that combines scheduling, dispatching, work orders, customer records, invoicing, payments, and mobile technician tools.
Identify Where the Process Stops
โWorkiz is not workingโ can describe several unrelated problems. The useful question is where the process stops.
A rejected username or password is an authentication issue. A missing verification message is a 2FA delivery issue. An account that opens without expected jobs or financial information usually requires a workspace, assignment, or permission check.
Do not reset everything at once.
Changing the password, reinstalling the mobile app, switching browsers, and editing the user profile together removes the evidence that could identify the cause. Test one stage, record the result, and continue only when that stage has been verified.
The practical order is:
- Confirm the page.
- Confirm the user identity.
- Test the password.
- Complete 2FA.
- Check the workspace.
- Review roles and job assignments.
That sequence separates login failures from account configuration problems before either the administrator or support team spends time on the wrong fix.
Use the Documented Workiz Login
Workiz instructs desktop users to visit app.workiz.com, enter their username and password, and select Log in. The user then enters a one-time passcode when the account requires it.
The mobile process uses the same basic account information. Workiz tells users to install its mobile app from an application marketplace, open it, enter the username and password, and complete the optional passcode step.
The official iPhone and Android listings describe mobile functions such as daily job review, scheduling, invoicing, payment processing, field administration, and communication between technicians and customers. The available tools can depend on the business account and the employeeโs permissions.
Save the correct login page after a successful session. A general search can also display the Workiz marketing site, Help Center, Client Portal, phone application, and third-party reviews.
Those destinations are not interchangeable.
Check the Login Email Before Resetting Anything
A password-recovery attempt must use the login email attached to the Workiz profile. Workiz states that the profile email also receives password-reset links.
An employee may have several plausible addresses:
- A personal email
- A current company email
- An address from a former company domain
- A shared office inbox
- An address used for Google authentication
Only the profileโs actual login identity matters.
Ask the administrator to compare the full address character by character. A small typo can make the employee appear not to have an account and prevent every recovery message from arriving.
This check deserves priority. Skip browser troubleshooting until the account identity is confirmed.
A user who accidentally enters through another email or creates a second profile may reach a nearly empty Workiz workspace. The successful login can hide the real problem: the person entered the wrong account rather than the employerโs existing workspace.
Reset a Forgotten Workiz Password
Workizโs documented recovery process begins with Forgot password? on the login page. The user enters the login email and selects RESET PASSWORD. When the address matches a Workiz account, the system sends instructions for changing the password.
Check spam, quarantine, and automated-message folders. Company mail filters can delay software-generated messages.
Wait before requesting another link.
Submitting the form repeatedly may produce several emails that arrive out of order. That makes it harder to identify the relevant recovery message and can lead the user back through an older attempt.
An administrator can also start the reset for another team member. Workiz documents the path through the profile icon, Manage team, the affected user, and Actions > Reset password. Workiz then sends that person an email link for setting a password.
The administrator does not retrieve the existing password. The employee should not send it to a manager or support representative.
Complete a Login Email Change
Updating a Workiz login email requires more than editing the visible field.
Workiz says the administrator selects the relevant user, updates the Email field under User details, and confirms the change. The affected person then receives a password-reset link and must update the password to complete the process.
That final step causes a specific point of friction.
An administrator changes the address, tells the employee that the work is finished, and the employee immediately attempts a normal login. Workizโs instructions require the emailed reset process first.
Open that message. Complete the password change. Then test the updated login.
The email-editing control is limited to users whose role includes the User settings permission. When the administrator cannot see the option, another account administrator may need to perform the change.
Do not widen every permission simply to solve one account update.
Resolve Missing Workiz 2FA Codes
Two-factor authentication requires a verification code in addition to the password. Workizโs April 20, 2026 documentation says that the code can be delivered to a mobile phone or email address. Workiz recommends enabling 2FA to protect company and client information.
If the code does not arrive, inspect:
- The phone number saved on the profile
- The email configured for verification
- The phoneโs ability to receive SMS
- Mail filtering or delivery delays
- Recent changes to the employeeโs contact details
The passcode screen is informative. It generally means the login has progressed beyond the password stage, so another password reset may not address the failure.
Focus on delivery.
Workizโs profile documentation also states that the phone number saved on the userโs profile is used for text-message passcodes and that users with access to sensitive settings may need another code before making changes.
Never forward a verification code. Enter it only in the Workiz screen that requested it.
Understand Extra Codes Inside Workiz Pay
A passcode request after login may be part of a protected payment action rather than a second login.
Workiz documents additional verification for changing the business bank account connected to Workiz Pay. The user opens Workiz Pay, selects My account, chooses Edit under standard payouts, provides a one-time passcode when 2FA is enabled, confirms the change, and enters the Workiz account password before supplying the new bank details.
Workiz also requires a passcode when 2FA is active and an authorized user changes the payment statement descriptor.
These checks protect sensitive account settings.
Only an authorized business representative should manage payout and banking details. Do not follow a banking-change request from an unexpected email, text, or caller.
A support ticket should never contain the account password, OTP, bank credentials, full card number, or CVV.
Login Works but Tools Are Missing
A successful login proves that the user entered an account. It does not prove that the account has every permission.
Workizโs user-management resources include controls for restricting assigned jobs, financial information, client job history, dashboards, card charging, job closing, location tracking, and account settings.
A technician may therefore see fewer jobs and no company-wide financial data. A dispatcher may manage schedules without controlling Workiz Pay. An owner may see dashboard and account settings that neither employee needs.
Check the role first.
Compare the affected employee with another user who holds the same Workiz role, not merely the same job title. Two people called technicians can have different permissions or job assignments.
If both accounts have the same role but only one lacks a feature, inspect the individual profile and workspace. If everyone lacks it, check whether the business has enabled the relevant product or plan.
The Workiz pricing page shows that products such as the phone system and AI answering can involve specific plan or add-on requirements.
Separate Workiz Phone From the Main Workspace
Workiz Phone has a dedicated desktop application. Workiz says the program uses the same email address and password as the normal Workiz account and synchronizes information with that account. Its primary purpose is handling incoming and outgoing calls through the dialer.
It does not replace the full browser workspace.
A user may install the Workiz Phone desktop app and then wonder why scheduling, job creation, or complete account administration is absent. Open the regular web application for those broader workflows.
This is a wrong-application moment, not a missing-permission conclusion.
The distinction also helps when one Workiz component works and another does not. A functional phone app does not prove that the browser session is healthy, and a valid browser login does not confirm that phone permissions or setup are complete.
Test the Browser and Mobile App Separately
Use a simple comparison.
When browser access works but the mobile app does not, update the app through the official marketplace, close it completely, reopen it, and test one other network.
When mobile works but the browser does not, open a private window and test another current browser. Stored cookies, extensions, or an incorrect saved login may interfere with the normal page.
When both reject the account, return to the login email, password recovery, and 2FA destination.
When both open but display the same limited tools, investigate the workspace, role, enabled products, and job assignments.
Avoid clearing every saved browser setting before recording the exact error. โIncorrect credentials,โ a blank page, and a missing menu require different investigation.
Contact Workiz Support Safely
Workiz may occasionally ask a user to generate a one-time support PIN, particularly during telephone assistance. Workiz has a separate documented process for creating that PIN for identity verification.
The support PIN is not the login password or 2FA code.
Generate it only through the authenticated Workiz process when requested during a recognized support interaction.
A useful support report should include:
- Company or workspace name
- Affected user
- Web, iPhone, Android, or Workiz Phone app
- Exact visible error
- Approximate time the problem began
- Whether the reset email arrived
- Whether the 2FA code arrived
- One example of a missing tool or job
- Checks already completed
Leave authentication secrets and payment details out of the report.
