Workiz is field service management software that businesses use for scheduling, dispatching, customer records, invoices, and related service operations. A new employee cannot gain access merely by installing the mobile app; the business must create the appropriate team profile, assign permissions, and provide a usable login email.
This independent guide is not affiliated with Workiz.
For an existing user who cannot sign in, check the account email and original authentication method first. For someone who signs in but sees the wrong tools, inspect the profile type and role before resetting the password.
What Workiz Is
Workiz is designed for companies that send technicians or service professionals to customer locations. Its published platform includes scheduling, dispatching, work-order management, customer management, invoicing, and access to operational information used by a field-service business.
The account is not presented identically to everyone.
Office employees may use Workiz to coordinate incoming jobs and technician schedules. Field workers can use the mobile application to review daily jobs, communicate with the office or customers, and handle permitted administrative tasks away from a desk. The official iOS listing describes mobile access to jobs, business operations, and technician-customer communication.
What each employee sees depends on how the company created the profile and configured its permissions.
That is the first diagnostic split.
A rejected username belongs to the authentication path. A missing job, feature, or financial control usually belongs to the account-configuration path.
How a New Workiz User Gets Access
A new employee generally needs a paid user profile to log in with individual credentials. Workiz distinguishes these users from free subcontractors, who may be assigned to jobs and receive SMS notifications but cannot enter the company’s Workiz account.
This distinction can prevent hours of useless troubleshooting.
A company owner might add a worker as a free subcontractor because that person performs contract work. The worker then downloads Workiz and looks for an invitation or password. Under the documented free-subcontractor setup, no normal account login is available.
Ask the administrator to confirm the profile type before doing anything else.
For a user with account access, the email saved in the profile serves as the login email and receives password-reset messages. A misspelled address, an old employee mailbox, or an inaccessible company email can block both initial access and later recovery.
The onboarding check should cover:
- Correct company workspace
- Correct team-member type
- Accurate login email
- Appropriate role and permissions
- Access to the registered phone when 2FA is active
Do not grant administrator-level access merely to make onboarding easier. Assign the permissions required for the person’s actual work, then test one ordinary workflow.
Use the Sign-In Method Attached to the Account
Workiz documents standard username-and-password login as well as third-party authentication through Google or Facebook. It also supports two-factor authentication that requires a one-time code sent to the registered phone.
A user should begin with the method previously connected to the account.
Someone whose employer set up an ordinary username and password may not enter the same profile by selecting Google. Conversely, a user accustomed to Google authentication may attempt to reset a separate password that was never the normal route into the workspace.
Confirm this before recovery.
Do not continue through a third-party sign-in flow when it opens an unfamiliar account or appears to begin registration. Close the page and ask the administrator which email and authentication method belong to the existing company profile.
On mobile devices, install Workiz through the normal application marketplace rather than a download link from an unknown site. The official application is intended for managing field-service work from a phone or tablet.
Resetting a Forgotten Workiz Password
The Workiz login screen includes Forgot password? Users enter the login email and select RESET PASSWORD. When the email matches an account, Workiz sends instructions for creating a replacement password.
Check one mailbox carefully.
The reset message is sent to the address stored in the Workiz profile, which may differ from the employee’s preferred personal or business email. Look through spam, automated, and filtered folders before submitting another request.
Avoid requesting several links in rapid succession. Messages may arrive out of order, leaving the user unsure which reset process is current.
When no recovery email arrives, the administrator should verify the profile address. Browser cookies cannot repair an incorrect email stored in the account.
An administrator can also initiate another user’s password reset. Workiz documents the route through the profile icon, Manage team, the affected user, and Actions > Reset password. The employee then receives an email link for setting the new password.
The process resets access. It does not expose the old password.
Changing the Workiz Login Email
Updating a user’s login email is a separate administrative task. Workiz states that this option is available only to roles with the User settings permission. An authorized user opens the team member’s profile, changes the Email field, and confirms the update.
The edit is not the final step.
Workiz sends a password-reset link to the user or team member, and the password must be updated to complete the email change.
This explains a common wrong turn: an administrator edits the profile, tells the technician to sign in with the new address immediately, and assumes the system failed when that attempt does not work. The recipient should locate the Workiz email and finish the required password-reset process.
If the administrator cannot see the email-editing option, inspect the administrator’s own role. The missing control may reflect the absence of User settings permission rather than a platform error.
Fixing Workiz Verification-Code Problems
When 2FA is enabled, Workiz asks for a one-time passcode during login. Its current documentation says the code is texted to the phone associated with the user.
Check the registered phone first, not every device the employee owns.
Possible failure points include an outdated number, a phone that cannot receive text messages, delayed carrier delivery, or an employee expecting the code at a different contact address. The administrator should verify contact information before making additional account changes.
Workiz’s 2FA documentation also says that enabling this protection adds one-time-passcode requirements to sensitive Workiz Pay actions involving the bank account, instant payouts, and statement descriptor.
A second code request after login may therefore be intentional. It does not always indicate that the session has restarted.
Never share the code through chat, email, or a phone call. Enter it only into the authenticated Workiz screen that requested it.
When the registered phone is no longer controlled by the employee, use the company administrator and Workiz’s official support process rather than attempting to bypass the verification step.
Employee Login Versus the Client Portal
Workiz also has a Client Portal, but it serves a different audience.
The Client Portal allows a service company’s customers to review and approve estimates or invoices, view appointments, update certain details, make payments, and request services when those features are available. Customers receive full portal access through a unique link shared by the service business.
An invoice recipient should not expect the company’s internal employee dashboard.
Likewise, a technician who opens a customer invoice or portal link has reached the wrong part of Workiz. Return to the employee application rather than trying company credentials on the customer page.
The same distinction applies to online booking. Workiz describes Online Booking as a customer-facing portal that businesses can place on websites and social media so customers can schedule services. It is not the team login screen.
Do this first: identify whether the visitor is a worker, subcontractor, or customer. Skip password recovery until the page matches that role.
Why Login Works but Features Are Missing
A successful login confirms authentication, not unrestricted access.
Paid Workiz users can be allowed to create invoices, collect signatures, request customer payments, and perform other tasks, but Workiz says those permissions are managed from account settings.
The administrator should inspect the role when:
- A technician cannot create an invoice
- Client records are unavailable
- Payment controls do not appear
- The Feature Center is missing
- Another employee sees more navigation options
- A tool appears on the web but not for a particular user
Some mobile workflows require several permissions at once. For example, Workiz says enrolling a client in a service plan from a mobile job requires Add jobs and Financial data permissions. Doing the same from a client profile also requires Clients permission.
This is a useful hands-on example because enabling only one permission may leave the workflow unavailable. Comparing a user’s screen with an administrator’s screen is not enough; compare the assigned roles and every permission required by the feature.
Prioritize permissions. Skip reinstallation until access has been confirmed.
Browser and Mobile Checks
When the account details appear correct, compare platforms.
Try the same user in the official browser application and mobile app. If web access works while mobile access fails, inspect the app version, local device session, and network. If both reject the login, return to the stored email, authentication method, password recovery, and 2FA details.
A private browser window can help separate stored-session problems from account problems. Testing one other current browser can provide the same distinction.
Do not change the password, email, phone number, browser, and device at once. That removes the evidence needed to identify which part failed.
A practical sequence is:
- Confirm the correct employee page.
- Confirm the stored login email.
- Confirm the authentication method.
- Complete one password reset if needed.
- Verify 2FA delivery.
- Check the profile type and role.
- Compare web and mobile behavior.
Record the exact visible error. A page-loading failure is different from rejected credentials, and both differ from a successful login with an empty workspace.
Contacting Workiz Support
Escalate after the company administrator has checked the profile email, user type, role, authentication method, and registered 2FA phone.
Provide the workspace name, affected user, platform, approximate time, exact error wording, and steps already completed. Mention whether the recovery email or verification text arrived.
Leave out passwords, one-time codes, full payment details, and banking credentials.
For sensitive support actions, rely only on the official Help Center or controls available inside the authenticated Workiz account. Workiz also documents extra passcode checks for sensitive Workiz Pay settings, which should not be bypassed or handled through an unverified message.

Is Workiz a payroll portal?
No. It manages field-service operations.
Can anyone download Workiz and join a company?
No. The company must create an appropriate user profile. A free subcontractor can receive assignments and text notifications but cannot log in to the Workiz account.
Which email should I use for Workiz?

Can my manager reset my password?

For a new employee, verify profile type, login email, role, and 2FA contact in that order. For an existing user, confirm the correct page and authentication method before beginning recovery.
