Workiz users can sign in with a username and password or through a supported Google or Facebook authentication method. When two-factor authentication is enabled, Workiz also requires a one-time passcode sent to the phone number connected to the user profile.
This is an independent guide and is not affiliated with Workiz.
Workiz is field service management software for businesses that schedule appointments, dispatch technicians, manage work orders, communicate with clients, prepare invoices, and accept payments.
Find the Correct Workiz Account Page
A search for Workiz can lead to several legitimate but different destinations: the main product website, the Help Center, the employee web application, a customer’s Client Portal, and pages associated with Workiz Phone.
These pages do not serve the same purpose.
Company owners, dispatchers, office employees, and technicians should use the business account assigned by their employer. Customers receiving estimates or invoices may instead enter a Client Portal through a unique link sent by the service company. The portal lets customers review and approve documents, pay invoices, view appointments, update certain details, and book services when enabled.
Check the page before entering credentials. An invoice link is not an employee login, and the Client Portal is not a second version of the internal dashboard.
Do this first.
A user who reaches the wrong page can waste time resetting a valid password for an account that was never intended to work there.
Which Workiz Login Method Should You Use?
Workiz supports a standard username-and-password process along with third-party authentication through Google or Facebook. Use the method originally attached to the company profile.
This matters because the same email address does not necessarily make each method interchangeable. An employee whose profile was created for standard login may select Google and reach an unfamiliar flow. Another employee who normally authenticates through Google may assume a separate Workiz password has stopped working.
Before resetting anything, ask the company administrator which method was assigned.
When a third-party button appears to begin registration, opens an unexpected workspace, or fails to show the existing company account, stop there. Do not create a duplicate profile merely to get past the screen.
A second profile can have no jobs, no client records, and no permissions, which makes the login appear successful while leaving the user in the wrong account.
Reset a Forgotten Workiz Password
Workiz provides separate procedures for users who are locked out and users who remain signed in.
A signed-in user can open Team, select the relevant user profile, choose Reset password in the upper-right corner, enter the current password and replacement password, and select Change.
Someone who cannot enter the account should use the password-recovery option on the login screen. The recovery message must reach the email saved in the Workiz user profile.
Check the exact mailbox attached to that profile. Do not assume the login uses the employee’s preferred email, a general office inbox, or the address listed in another company system.
Wait before requesting another message.
Several reset emails may arrive out of order, making it difficult to tell which link belongs to the latest request. Check spam, automated-message folders, and company mail filters before repeating the process.
When no message arrives, the account administrator should inspect the user profile. Workiz identifies the profile’s email as an account-access detail affected by team management.
How an Administrator Resets Another User
An authorized administrator can initiate a password reset from inside Workiz. The documented path is:
- Select the profile icon.
- Open Manage team.
- Select the affected user.
- Choose Actions > Reset password.
Workiz then emails that team member a link for setting a new password.
The administrator does not see the existing password.
That distinction protects the individual account and gives the employee control of the replacement credential. It also means an administrator-triggered reset will not help when the employee cannot access the email address stored in the profile.
Fix the account email first in that situation. Skip repeated resets until the destination has been confirmed.
No user should send a password, one-time code, or full payment information to a manager or support representative.
Why the Workiz Verification Code Does Not Arrive
When 2FA is active, Workiz texts a one-time passcode to the phone associated with the user’s account.
Common failure points include:
- The profile contains an old mobile number.
- The phone cannot currently receive text messages.
- The employee expects the code on another device.
- Carrier delivery is delayed.
- The company recently enabled 2FA without reviewing team contact details.
Verify the stored number before changing the password again. Authentication has already progressed past the password stage when the code screen appears.
One particularly important Workiz-specific detail concerns Workiz Phone numbers. Workiz says those numbers are generally not recommended for 2FA because their messages are accessible only after logging in. Using one can create a loop in which the user must sign in to retrieve the code required to sign in.
Use a separate text-capable number for authentication.
This is more useful than repeatedly pressing resend. If the registered number is inaccessible or unsuitable, the company administrator and Workiz support need to address the account configuration.
Why Workiz Requests Another Code After Login
A one-time code does not appear only at the initial login screen.
Workiz documents extra verification for sensitive Workiz Pay actions. For example, changing the connected bank account requires access to the Workiz Pay dashboard, the My account tab, the Edit control under standard payouts, a one-time passcode when 2FA is enabled, and the Workiz account password.
Workiz also documents passcode verification when changing a payment statement descriptor and when enabling instant payouts.
A second code request can therefore be expected when an authorized person enters a sensitive payment workflow.
Pause when the request arrives unexpectedly. Confirm that you personally opened the relevant setting inside the authenticated account. Do not approve a change initiated through an unknown email, text, or phone call.
Banking access should remain limited to the owner or another specifically authorized company representative.
Login Works, but the Account Looks Empty
Successful authentication does not guarantee access to every Workiz function.
Workiz lets administrators add team members as different account types, including users and subcontractors. Its current team-management instructions place this under profile icon > Manage team > Add new, followed by selection of the team-member type.
The selected type and assigned role affect what the person can do.
An employee may log in but see no expected jobs because the profile was added to the wrong workspace or lacks the appropriate assignments. A subcontractor may have a more limited relationship with the account. A technician may see fewer administrative controls than a dispatcher or owner.
Check these items in order:
- Company workspace
- User profile
- Assigned role
- Job assignments
- Feature permissions
Do not reinstall the app first. A local reinstall cannot correct a server-side role or assignment.
A useful test is to compare the affected user with another employee who has the same role, not merely a similar job title. Two people called technicians may have different account permissions.
Missing Mobile Dialer or Phone Tools
Workiz permissions can affect individual mobile features. Its documentation for the mobile dialer tells administrators to open Settings, select Roles & permissions, choose the role, enable Voice, enable Call report, and save the changes.
This is a concrete example of a feature that may require more than one permission.
When the dialer is missing for one employee, compare that employee’s role with a working user. When it is missing for everyone, confirm that the business has the corresponding Workiz Phone setup and that the feature is available to the account.
The Workiz Phone desktop app is also separate from the ordinary browser application. Workiz describes it as a standalone desktop program focused on making and receiving calls, while the web application is used for tasks such as booking jobs and creating invoices.
Installing one does not replace the other.
That separation can explain why a user opens a Workiz-branded desktop application but cannot find the main scheduling or invoicing workspace.
Browser or Mobile App Failure?
Test the account through two routes before escalating.
When the web application works but mobile access fails, update the mobile application through the device’s official store, close it fully, reopen it, and test another network. When mobile works but the browser fails, try a private window and another current browser.
The result narrows the cause:
- Only one device fails: inspect the device, app, browser, or network.
- Every device rejects the credentials: inspect the login method, email, and password.
- Password works but 2FA fails: inspect the registered phone.
- Login works but tools are absent: inspect roles and permissions.
- Several coworkers fail: check for a shared account, network, or service issue.
Change one variable at a time. Resetting the password, reinstalling the application, editing the phone number, and switching browsers together makes the original failure harder to identify.
Write down the exact visible message. Support can do more with the wording and the failed stage than with a general statement that Workiz is not working.
Contact Workiz Support
Workiz says the quickest support route is the chat bubble in the lower-right corner of its Help Center or web application. Its official support article also lists support@workiz.com and the phone number (855) 790-7363.
The Workiz contact page currently lists support hours as 5 a.m. to 6 p.m. Pacific Time Monday through Friday and 8 a.m. to 5 p.m. Pacific Time on Saturday and Sunday. Verify current hours on the contact page because schedules may change.
Include:
- Company or workspace name
- Affected user
- Login method
- Browser or mobile device
- Exact error wording
- Approximate time of failure
- Whether the reset email arrived
- Whether the 2FA text arrived
- Whether other employees are affected
Do not include passwords, passcodes, card data, or banking credentials.
Use customer support for technical problems. Workiz distinguishes technical support from customer success, which focuses on account guidance and product practices.
Frequently Asked Questions
What is Workiz?
Field service management software.
Can I sign in to Workiz with Google?
Yes, Workiz documents Google authentication as a supported method. It must correspond with the authentication route attached to your existing profile.
Why does my invoice link show a Client Portal?
Workiz automatically includes a unique Client Portal link in certain invoice and estimate messages. That portal is for the service company’s customer, not its employees.
Can my manager reset my password?
An authorized administrator can initiate a reset through Manage team and Actions > Reset password. You receive the link and choose the replacement password.
Can I use a Workiz Phone number for 2FA?
Workiz generally advises against it. Messages sent to a Workiz Phone number may be accessible only after login, creating a circular authentication problem.
Why is the mobile dialer missing?
Your assigned role may lack Voice, Call report, or both permissions. An administrator should compare your role settings with the official dialer requirements.
Why did Workiz request my password again?
Sensitive Workiz Pay actions, such as changing a connected bank account, can require the account password and a one-time passcode when 2FA is enabled.
What is the fastest way to reach support?
Workiz identifies the Help Center or web-app chat bubble as the quickest method.
Start with the page and authentication method. Then inspect password recovery, 2FA delivery, workspace, and permissions in that order.
