Workiz is field service management software for scheduling, dispatching, invoicing, client management, and technician operations. Users can sign in with their Workiz credentials or a supported third-party authentication method, while accounts with two-factor authentication also require a temporary verification code.

Start by identifying the actual failure. Rejected credentials, a missing verification code, an empty technician schedule, and an unfamiliar dashboard may look related, but each problem follows a different troubleshooting path.

What Workiz Is Used For

Workiz gives field-service businesses a shared system for managing appointments, technician assignments, customer information, invoices, payments, and day-to-day communication. Its mobile app lets field personnel review daily jobs and handle authorized administrative work while away from the office.

An owner may use Workiz for reporting and account configuration. A dispatcher may create jobs and organize the schedule. A field technician may receive only the client details and appointments assigned to that user.

Those views can differ substantially.

A technician should not assume that the managerโ€™s dashboard, financial figures, or administrative settings will appear in every account. Workiz provides role and permission controls for assigned jobs, financial data, dashboards, card charging, job closing, and other functions.

How to Sign In to Workiz

The standard Workiz login process asks for a username and password. Workiz also documents authentication through Google or Facebook, plus an optional two-factor authentication step.

Use the sign-in method already connected to the company profile.

A user who normally enters with Google should not automatically assume that a separate Workiz password exists. Someone assigned a standard username and password should not create a new profile merely because Google authentication opens a different screen.

Check this before resetting anything.

On mobile, download the Workiz app through Appleโ€™s App Store or Google Play rather than an unrelated download page. The official iOS listing describes job review, field operations, and communication between technicians and customers.

On a shared office computer, log out when finished. Avoid allowing the browser to save credentials unless the companyโ€™s device policy permits it.

Why a New Employee Cannot Enter the Workspace

Installing the app does not connect a person to an employerโ€™s Workiz account. An administrator must add the team member and select the appropriate account type.

Workiz documents the setup path through the profile icon, Manage team, and Add new. The administrator then chooses whether the person will be added as a user or subcontractor. A user counts toward account seats and can log in through web or mobile, manage jobs, send invoices, collect signatures, and collect payments when permissions allow.

The distinction matters.

A newly hired technician may have downloaded the correct application but still lack a valid user profile. Another worker may have been entered as a subcontractor when the business expected full application access.

Before troubleshooting the phone, verify:

  • The person appears in the correct Workiz workspace
  • The profile type permits login
  • The login email is accurate
  • The expected role has been assigned
  • The employee can access the registered email and phone

Do not solve onboarding friction by granting administrator access. Start with the role required for the employeeโ€™s normal work.

Resetting a Forgotten Password

Workiz provides one password-reset method for users who remain signed in and another for users who are locked out.

A logged-out user should open the Workiz login page, select Forgot password?, enter the login email, and choose RESET PASSWORD. When that email matches an account, Workiz sends instructions for changing the password.

Check the mailbox tied to the Workiz profile. It may not be the same address used for general company correspondence.

Look in spam and filtered-message folders before submitting another request. Several reset messages can arrive out of order, so repeated requests may make recovery less clear.

A user who is already signed in can open Team, select the user profile, choose Reset password, enter the current and new passwords, and select Change.

An authorized administrator can initiate a reset for another team member through Manage team > user > Actions > Reset password. The user receives an email link and chooses the replacement password.

Workiz Verification Code Not Arriving

Workiz 2FA requires a temporary passcode in addition to the password. The code is sent by text message first; when backup email verification is enabled, an email resend option appears after 60 seconds. Workiz says email functions as a backup rather than the primary delivery route.

Wait for that option.

Do not restart the process every few seconds. First confirm that the phone number stored in the profile belongs to the affected user and can receive text messages.

Workiz specifically advises against using a Workiz Phone number for 2FA. Messages sent to that number are accessible after login, which can create a circular problem in which the user must log in to retrieve the code needed for login.

Use a separate mobile number capable of receiving SMS.

When the profile contains an old number, an administrator should review the team memberโ€™s contact details. Workiz states that 2FA codes are sent to the number saved on the profile and that sensitive account changes may trigger additional verification.

Never send a verification code through ordinary email or chat.

Why a Technician Cannot See a Job

A successful login followed by an empty schedule usually requires a job-assignment check, not password recovery.

Workiz allows businesses to limit technicians to assigned jobs. The user may therefore see only appointments that have been attached to that profile. Workiz lists assigned-job restrictions among its documented user controls.

Ask the dispatcher to check:

  1. Whether the job exists
  2. Whether it is scheduled
  3. Which technician is assigned
  4. Whether the affected profile is limited to assigned jobs
  5. Whether a schedule filter is hiding the appointment

One detail is easy to overlook: Workiz supports both scheduled and unscheduled jobs. An unscheduled job is created with the Scheduled toggle turned off and remains manageable through the web and mobile apps, but it may not appear where a technician expects to find dated appointments.

This is a better first check than reinstalling the app.

A dispatcher who can find the record under unscheduled work while the technician searches only a dated schedule has an organizational issue, not a login failure.

Why the Workiz Dashboard Looks Different

Workiz is rolling out a new dashboard experience to selected accounts. Its Help Center notes that some customers may still see the previous dashboard while others have the updated layout and capabilities.

This can make otherwise accurate instructions look outdated.

A manager watching a recent tutorial may see widgets or navigation that do not match the current account. Two separate Workiz companies may also receive different dashboard experiences during the rollout.

Before assuming that a feature disappeared, determine which dashboard version is visible. Then check the userโ€™s role and individual dashboard restrictions.

Do not use appearance alone as proof that the account is wrong.

The dashboard rollout and permission system can overlap. One employee may see an older layout with broad access, while another sees a newer layout with restricted widgets. The administrator should compare actual capabilities rather than screenshots.

Employee Workspace Versus Client Portal

Workizโ€™s Client Portal is intended for customers of businesses that use Workiz. It allows customers to view past and upcoming appointments, review account information, make payments, and book another job when those options are enabled.

It is not the technician dashboard.

A customer may reach the portal through a link provided by the service company. An employee who opens that customer link should return to the Workiz business application rather than attempting a password reset.

This wrong-page problem often occurs when an invoice or estimate link has been saved as a bookmark. The page is genuine, but it serves a different user.

Identify the audience first: customer, employee, dispatcher, technician, or administrator.

Browser Works but the Mobile App Does Not

A successful browser login shows that the account credentials are probably valid. Focus next on the mobile app, device session, or network.

Use this order:

  • Install pending updates from the official app store
  • Fully close and reopen the app
  • Check that the correct Workiz profile is being used
  • Switch once between Wi-Fi and mobile data
  • Compare the mobile result with a private browser session

When the mobile app works but the browser fails, inspect browser cookies, extensions, and saved login methods. Open a private window and try another current browser.

When both platforms reject the account, return to the login email, password reset, and 2FA destination.

Change one item at a time. Otherwise, the original cause becomes harder to identify.

Reaching Workiz Support Safely

Workiz may ask a user to generate a one-time support PIN during certain support interactions, particularly by phone. The PIN is generated for the individual user, expires after 20 minutes, and cannot be reused.

That support PIN is different from a login password or 2FA code.

Generate it only inside the authenticated Workiz process and only when requested through a recognized support interaction. Do not send a password, payment-card information, banking credentials, or a login verification code.

A useful support request should include:

  • Company workspace name
  • Affected user
  • Web or mobile platform
  • Exact error wording
  • Approximate time the issue occurred
  • Whether password-reset email arrived
  • Whether the 2FA text arrived
  • One example of a missing job
  • Troubleshooting already performed

Precise symptoms reduce back-and-forth. โ€œThe app is brokenโ€ is less useful than stating that the browser works, the iPhone app opens, and one assigned job does not appear.
