Troubleshooting Workiz Login and User Access

Workiz users access their company workspace through the browser application or the official mobile app. Use the username, password, and authentication method connected to your existing profile; when two-factor authentication is enabled, Workiz also requests a one-time passcode.

Do not treat every missing screen as a login failure. A rejected password is an authentication problem, while a missing job, dashboard, payment amount, or phone tool often points to the user’s role and permissions.

What Workiz Is

Workiz is field service management software used by businesses to schedule appointments, dispatch technicians, manage work orders, maintain customer information, create invoices, and process payments. Its mobile app also gives authorized field workers access to job and customer information away from the office.

The software is organized around team responsibilities. Owners and administrators may need broad reporting and account settings. Dispatchers may arrange schedules and assign work. Technicians may receive only their appointments and the tools needed to complete those jobs.

That difference is intentional.

Workiz provides default roles and lets administrators modify the permissions attached to them. A person can therefore enter the correct workspace and still see fewer functions than a coworker.

Use the Correct Workiz Login

For browser access, Workiz directs users to app.workiz.com. The documented process is to enter the username and password, select Log in, and provide a one-time passcode when requested.

The mobile process is similar. Users download the Workiz app from Apple’s App Store or Google Play, open it, enter their credentials, and complete the optional passcode step.

Use the established account. Skip registration.

Creating another profile because the existing login fails may place the employee in a separate workspace with no jobs or permissions. Before beginning recovery, confirm the email address and sign-in method originally assigned by the company.

A broad search for Workiz can also lead to its marketing website, Help Center, customer-facing pages, or Workiz Phone documentation. Those are legitimate resources, but they are not substitutes for the employee application.

Why a New Employee Has No Login

Downloading Workiz does not automatically add a technician to an employer’s workspace. An authorized administrator must create the team profile.

Workiz documents the onboarding path through the profile icon, Manage team, and Add new. The administrator then chooses a team-member type, such as user or subcontractor.

That selection affects access. Workiz says the user type determines whether the person receives a login, while the user role determines which parts of the account the person can use.

Check these details before troubleshooting the employee’s device:

  • The person was added to the correct business account
  • The profile type includes account access
  • The login email is accurate
  • The intended role was assigned
  • The employee can access the registered email and mobile number

Do this first, skip repeated app installations.

A misspelled email can block the first login and every later password-reset attempt. Workiz identifies the profile email as the address used for login and recovery messages.

Reset a Workiz Password

A user who remains logged in can change the password from inside the account. Workiz documents the path as Team, the user profile, and Reset password in the upper-right corner. The user enters the current password, enters the replacement, and selects Change.

A locked-out user should use the password-recovery option on the login page. The reset instructions are sent to the login email stored in the profile.

Check one mailbox carefully. Look in spam and filtered folders before requesting another message, especially when company email security delays automated mail.

An administrator can initiate a reset for another user through Manage team, the affected profile, and Actions > Reset password. Workiz then emails the team member a link for setting the replacement password.

The administrator does not need the employee’s existing password. Never send that password through email, text, or chat.

When the Login Email Has Changed

Updating the profile email is not the same as completing an account transfer.

Workiz says the email-editing option requires the User settings permission. An authorized user changes the Email field in the team member’s profile and confirms the update. Workiz then sends a password-reset link, and the recipient must change the password to complete the process.

This produces a common wrong turn: the manager edits the address and immediately tells the employee to try the new login. The employee has not yet completed the required reset step, so the new credentials may not work as expected.

Locate the email first.

When the administrator cannot see the field, check that administrator’s own permissions rather than assuming the setting has been removed.

Fix a Missing Workiz Verification Code

Two-factor authentication adds a one-time passcode after the password. Workiz sends the code to the phone number saved on the profile, and its current documentation also describes email as an available verification route in the 2FA process.

Start with the registered contact details. An old phone number cannot be fixed by changing the password.

Workiz provides a Change number option for users who can access the relevant 2FA process. When the user no longer controls the registered number, Workiz directs that person to support.

One specific mistake deserves attention: do not use a Workiz Phone number as the 2FA destination. Workiz explains that messages to a Workiz Phone number are generally accessible only after login, which can create a loop where the user cannot retrieve the passcode needed to enter the account.

Use a separate SMS-capable mobile number.

A passcode request after login may also be legitimate. Workiz documents additional verification for sensitive Workiz Pay actions involving bank accounts, instant payouts, and statement descriptors.

Never relay that code to another person.

Why Workiz Opens the Schedule Instead of the Dashboard

Landing on the schedule after login does not necessarily mean the dashboard failed.

Workiz permits administrators to restrict dashboard access by role. Its help documentation states that users with a dashboard restriction are directed to the Workiz schedule when they log in on desktop.

That is a verified interface behavior, not a browser error.

The administrator can also limit individual dashboard widgets. One role may see business-wide performance information, while another sees only a smaller operational view.

Before clearing cookies or reinstalling anything, compare the user’s role with the role of a coworker who can see the dashboard. Job titles are not enough. Two technicians may carry the same title but have different role assignments.

Prioritize the permission check. Skip device changes until the account is confirmed to have dashboard access.

Why Jobs or Messages Disappear

Workiz lets companies limit users to their assigned jobs. It provides four default roles: Admin, Manager, Dispatcher, and Tech. The default Tech role is restricted from viewing work assigned to other users.

An empty or incomplete schedule can therefore mean:

  • The job is assigned to another technician
  • The dispatcher has not assigned anyone
  • The user is restricted to assigned work
  • A schedule filter is active
  • The employee entered the wrong workspace

Workiz also notes that, under the assigned-job restriction, a message thread may no longer remain available to the user after the job is marked done.

That detail can look like lost data. It may instead be the expected result of the role setting and job status.

Ask the dispatcher to inspect one specific job. Confirm its assigned user, current status, and whether the affected employee’s role is restricted. A password reset will not change any of those fields.

Why Prices or Financial Details Are Hidden

Workiz roles can be configured to hide financial data from selected users. Its documentation describes role permissions that show team members only the information needed for their responsibilities.

A technician may be able to open the job while being unable to see prices, totals, costs, or broader financial reporting. That can be an intentional control set by the business owner.

Do not assume payment access follows job access.

The same principle applies to dashboards, credit-card charging, closing jobs, activity reports, and phone functions. Workiz maintains separate controls for these capabilities.

Administrators should grant the narrowest permissions that allow the employee to perform the assigned work. Broad account access should not be used as a troubleshooting shortcut.

Former Employee Still Listed in Workiz

Deleting or changing a password is not the only employee-offboarding task. Workiz provides a documented process for disabling team members from an account.

The owner or administrator should use the company’s Workiz team-management controls when a worker leaves or no longer requires access. The exact offboarding decision may depend on the need to preserve job history, activity records, and past assignments.

Do not reuse the former employee’s profile for a new worker. Create a separate user so that actions and job history remain attributable to the correct person.

Workiz’s Activity report can show events such as a technician accessing job details, a dispatcher creating a job, or a payment being collected. Access to that report can itself be controlled through roles and permissions.

That makes individual accounts important for both operations and accountability.

Browser and Mobile Troubleshooting

Compare platforms before escalating.

When the browser application works but mobile does not, update the app through the official store, close it completely, reopen it, and test one other network. When mobile works but the browser does not, open a private browsing window and temporarily disable extensions that modify scripts, cookies, or login pages.

Use the result as a diagnostic split:

  • One platform fails: investigate the device, browser, app, or network
  • Every platform rejects the password: inspect the account email and recovery process
  • The password works but the code fails: inspect the 2FA destination
  • Login works but features are absent: inspect roles and permissions
  • Several employees fail together: investigate a shared network or service problem

These checks are general troubleshooting steps rather than Workiz-specific guarantees. Record the exact error and change one variable at a time.

Getting Official Workiz Support

Workiz maintains an official Help Center for account access, team management, permissions, mobile tools, Workiz Phone, and payment features. Its support documentation describes customer support as the team responsible for troubleshooting technical issues.

For some support interactions, Workiz provides a separate one-time support PIN process. That PIN is generated for support assistance and is not the same as the account password or login verification code.

A useful report should include:

  • Company workspace name
  • Affected employee
  • Browser, iPhone, Android, or several platforms
  • Exact error wording
  • Approximate time of the problem
  • Whether the reset email arrived
  • Whether the verification code arrived
  • One example of a missing job or feature
  • Checks already completed

Do not include a password, login passcode, payment-card data, or banking information.
