Workiz combines jobs, leads, tasks, technician assignments, locations, and appointment times in one scheduling system. When a job is missing or appears under the wrong technician, check the scheduled date, assignment, active filters, calendar view, and mobile account before creating another record.

What is Workiz scheduling?
Workiz is field service management software used to organize customers, jobs, dispatching, estimates, invoices, payments, and technician activity. Its schedule contains booked jobs, leads, and tasks, giving dispatchers several ways to inspect workload and make assignment changes.
The schedule is reached from Schedule in the sidebar.
Five documented viewing modes are available:
- Day
- Week
- Month
- Timeline
- Timeline Week
The Day and Week views present work vertically by time. Month offers a wider planning view with less job detail. Timeline displays technicians horizontally, making it easier to compare openings for urgent work, while Timeline Week aligns jobs by technician across the week.
Choose the view that answers the immediate dispatch question.
Use Timeline to compare technicians. Skip judging precise availability from Month view, where less detail is displayed.
Why a job is missing from the schedule
A missing job is not always deleted.
The Workiz schedule only shows jobs, leads, and tasks that have been booked on the calendar. A job may exist in the account while remaining unscheduled, assigned differently, placed on another date, or hidden by a filter.
Check these items in order:

Workiz lets users apply schedule filters through Filter results. Its documentation gives the example of filtering scheduled items by a tag such as Estimate. A forgotten filter can make valid work appear absent.
Clear filters first.
Skip creating “Job 2” because one dispatcher cannot see the original. Duplicate records may produce conflicting assignments, customer messages, invoices, and technician visits.
How dispatchers reassign or reschedule work
In Timeline view, scheduled items can be dragged and dropped. Workiz says this can be used to assign an unassigned job, move it to another technician, or reschedule it to another time or date.
That speed creates a small operational risk.
Dragging a job is a real edit, not a visual planning exercise. The customer’s appointment, technician schedule, and connected automations may be affected once the change is saved or processed by the configured workflow.
Before moving a job, verify:
- Technician availability
- Required skill or equipment
- Service address
- Expected duration
- Customer commitment
- Existing communication status
Do not move appointments merely to make the calendar look balanced.
A dispatcher can also select an empty Timeline slot and drag across the desired duration to begin creating a new job. Workiz prepopulates scheduled details based on the chosen technician and time slot before opening the remaining New Job fields.
Review those prefilled details. A convenient empty block may still belong to the wrong technician or date.
What technicians see in the mobile schedule
The Workiz mobile Schedule tab shows the jobs, leads, and tasks scheduled for the selected day. Each item can display the appointment time, status, client name, job type, and service address.
Technicians can move through dates by scrolling the calendar or expanding it and selecting another day. Older jobs that remain open are indicated by dots beneath the relevant calendar dates.
That detail is easy to overlook.
A technician may say today’s job vanished after the dispatcher moved it to tomorrow. Another may overlook an old unfinished job because the mobile app opens on the current date.
Check the date ribbon.
From the mobile schedule, documented quick actions include calling or messaging the client, opening directions, and rescheduling the service appointment.
Access may vary by role and account configuration. A field user should not be expected to see every office control.
Why a technician cannot see customer history
A technician’s current job and the customer’s complete service history are separate permissions.
Workiz manages Client job history at the role level. To enable it, an authorized user opens Settings, then Roles & permissions, selects the role, and confirms that Clients, Jobs report, and Client job history are enabled.
Technicians with that permission can open an assigned job, select View client details, and choose Jobs to see prior jobs marked done. They only receive history for clients connected to work currently assigned to them.
This limitation is intentional.
A technician may see today’s appointment while seeing no earlier unfinished or canceled records. Another technician with a different role may have broader access.
Check role permissions first. Skip copying old job notes into the new appointment merely because history is hidden.
For teams that need selective access, Workiz recommends creating a custom role rather than enabling the permission for every technician assigned to a broad default role.
How Workiz GPS tracking is enabled
Workiz location tracking requires several separate controls.
First, the Map/GPS Tracking add-on must be enabled in Feature Center. A user who cannot see Feature Center may lack Account Settings permission. Next, the individual paid user must have Track location enabled under Roles and permissions. Workiz says location tracking cannot be enabled for subcontractors.
The technician must then enable Location Tracking inside the Workiz mobile app and permit location access through the phone’s operating-system settings.
Three gates.
Missing any one of them can leave the dispatcher without a current location.
Do this first: check the add-on, user permission, and device permission separately. Skip blaming the phone’s GPS until the account configuration has been verified.
Why a technician’s location is stale
Workiz says location tracking continues while the application is actively in use or remains open in the background. If the application is fully closed, Workiz no longer tracks the user’s location.
The dispatcher can open Map, choose Techs, and review technicians, availability, and the timestamp of each user’s latest location update.
The timestamp matters more than the pin alone.
A technician’s marker may show a location from earlier in the day because the app was closed, device permissions changed, or the phone stopped providing a fresh update.
Check the last-updated time before assigning an emergency call.
Skip treating a stale pin as live evidence of where the technician currently is. Location accuracy and operating-system behavior may vary by device, signal, and region.
ETA messages and On My Way Pro
Workiz’s On My Way Pro can send customers a text containing a Client Portal link with the assigned technician’s photo, bio, and estimated arrival time. The technician opens the job in the mobile app, selects ETA, keeps the On my way tab selected, and sends the message.
The feature sends these enhanced messages by text only. Workiz states that the business must be registered for text messaging through A2P 10DLC.
The initial ETA uses the technician’s GPS location, the distance to the job address, and real-time traffic. The displayed ETA updates minute by minute, while Workiz periodically checks the technician’s GPS again.
An ETA is an estimate.
Traffic, route changes, a stale location, or an incorrect service address can affect it. Verify the job address before sending. Skip promising the displayed minute as a fixed arrival commitment.
Administrators can also enable alerts for when a technician sends an on-my-way message and when the technician arrives. The related setting is under Settings, Calls & Texts, and Text messages.
Time tracking is not the same as job status
Workiz provides three documented methods for logging time:
- Clocking into a job from the mobile app
- Clocking in for the day from web or mobile
- Adding time manually from the web app
The Timesheets report then shows clock status, total logged hours, labor cost when an hourly rate exists, and completed jobs during the selected period.
Changing a job to Done does not necessarily prove the employee clocked out correctly.
Workiz recommends at least one minute between clock-in and clock-out for reliable results. If mobile clock activity occurred while location tracking was enabled, a pin can appear in the Timesheets report showing the location at clock-in or clock-out.
Review the timesheet separately.
Skip correcting payroll hours from the schedule alone. The schedule shows planned and operational work; the Timesheets report records logged time and may be edited or exported under the company’s permissions and process.
Done jobs, dashboard totals, and unfinished work
The mobile calendar marks dates containing older jobs that have not been closed, helping users locate unfinished records.
Workiz’s dashboard documentation also notes that the Coming Up widget shows upcoming scheduled jobs. Its Dispatch Scoreboard can display jobs created and revenue collected, but revenue is not displayed until a job has been marked done.
This can create two different “missing” reports.
An open job may remain visible on the schedule yet contribute no completed revenue to a dashboard widget. A done job may disappear from an employee’s immediate workflow while remaining part of reporting.
Confirm the status meaning before changing it.
Do not mark work done solely to make revenue appear in a scoreboard. Completion should follow the company’s real operational rule, including any required customer sign-off, payment step, or final documentation.
Workiz pricing and support
Workiz’s pricing varies by plan, included users, and selected features. Its current pricing page lists differences involving scheduling, automations, location tracking, service areas, lead management, communications, accounting connections, and other operational capabilities.
Confirm whether GPS tracking, route planning, On My Way Pro, and other dispatch features are included in the company’s current subscription or require another setup.

- Job or lead
- Scheduled date and time
- Assigned technician
- Active schedule view
- Active filters
- Mobile date selected
- Role permissions
- GPS last-updated timestamp
- Whether the app is open
- Whether another dispatcher sees the record
