Workiz is a field service management platform used for scheduling, dispatching, customer management, invoicing, payments, and mobile job access. Team members enter through the Workiz web application or official mobile app, while customers generally use a secure Client Portal link sent by the service company.

For owners and administrators, the first priority is to create the right user profile before troubleshooting the employeeโs device. A valid password cannot compensate for an incorrect email, duplicate account, missing role, or customer-facing link.
What Workiz Is Used For
Workiz combines the operational tools needed by many field service businesses. Its published features include appointment scheduling, technician dispatch, work-order tracking, client records, invoicing, payment processing, and mobile access to job information.
Different employees use different parts of the platform.
An owner may review company performance and account settings. A dispatcher may organize jobs and technician schedules. A field worker may use the mobile app to review daily assignments and communicate with the office or customer.
Those users should not necessarily receive identical screens. Workiz maintains separate controls for assigned-job visibility, dashboard access, financial information, client history, card charging, and other permissions.
This matters during support calls. A technician who cannot enter Workiz has a login problem. A technician who enters successfully but cannot see every client or financial amount probably needs an access review.
Find the Correct Workiz Login
Workizโs login instructions say users enter a username and password. The platform also supports authentication through Google or Facebook, and two-factor authentication can add a one-time passcode sent to the registered phone.
Use the method already connected to the existing company profile.
Do not create another account because Google authentication opens an unfamiliar page or the ordinary password fails. A duplicate profile may appear functional while containing no company schedule, clients, or permissions.
Check the login identity first:
- Which email did the administrator enter?
- Was the profile created for password login?
- Was Google or Facebook authentication previously used?
- Is the employee entering the correct company workspace?
Skip registration until those details have been confirmed.
The Workiz mobile app is available through Appleโs App Store and Google Play. Its listings describe access to scheduling, invoicing, payment processing, daily jobs, and communication tools for field service teams.
Employee Workspace or Client Portal?
The employee application and Workiz Client Portal serve different audiences.
Workiz describes the Client Portal as a customer-facing area where clients can view, approve, sign, and pay estimates or invoices; review appointments; update certain details; and book services when the company enables those functions. Full access is provided through the unique link shared by the service business.
No ordinary customer login is required.
An invoice recipient should return to the email or text sent by the service provider. Searching for a generic Workiz portal can lead to a page that cannot identify the customerโs account because the business-specific link is missing.
Employees have the opposite problem. A technician who opens an invoice or estimate link has reached a customer page, not the internal scheduling dashboard.
Identify the user before changing credentials.
Set Up a New Workiz User Correctly
Adding a team member involves more than telling the employee to install the app. The administrator must create or configure the personโs profile, enter a usable login email, and assign the permissions needed for that role.
Workizโs user-management section covers disabling team members, customizing roles, resetting passwords, restricting assigned jobs, controlling financial visibility, limiting dashboard access, and allowing selected payment actions.
A practical onboarding review should confirm:
- The employee belongs to the intended company account.
- The login email is spelled correctly.
- The employee can open that mailbox.
- The correct role has been assigned.
- The profile is enabled.
- The registered phone can receive 2FA messages.
- At least one test job is assigned when job visibility is restricted.
Test a real workflow afterward. Ask the employee to sign in, open an assigned appointment, find the client details needed for the visit, and complete one permitted status update.
Do not grant broad administrator rights merely to make the test pass. Fix the specific role or assignment instead.
Reset a Forgotten Workiz Password
A user who is already signed in can change the password by opening Team, selecting the user profile, choosing Reset password, entering the current and replacement passwords, and selecting Change.
A locked-out user should use the recovery option presented on the login page. The reset message must reach the email connected to the Workiz profile.
Check that mailbox carefully, including spam, quarantine, and automated-message folders. Avoid submitting several requests in rapid succession because multiple messages may arrive at different times.
An administrator can also initiate another employeeโs reset. Workiz documents the route as profile icon > Manage team, followed by the user and Actions > Reset password. The team member receives an email link for setting a new password.
The administrator does not retrieve the existing password.
Never send a password, login code, or recovery link to a coworker who offers to complete the process for you.
Why the Reset Email Never Arrives
A missing recovery email is often an account-record problem.
Start by confirming the exact login address stored for the user. An employee may be checking a personal inbox while the profile uses a work address. A company may also have changed domains, disabled an old mailbox, or entered one character incorrectly.
Do this before resetting again.
When the address appears correct, check whether other automated Workiz messages reach the same company domain. Mail filtering can delay or quarantine password messages.
An administrator-triggered reset will not solve an inaccessible mailbox because it sends another link to the same destination. Correct the profile email through an authorized account administrator, then begin one new recovery attempt.
Do not ask the employee to share access to the mailbox. The user should open the recovery message personally and choose the replacement password.
Workiz 2FA Code Problems
Workiz two-factor authentication adds a temporary passcode during login. The companyโs current documentation says 2FA also requires a one-time code for sensitive Workiz Pay changes involving the linked bank account, instant payouts, and the statement descriptor.
This creates two different situations:
- A passcode requested immediately after the password is part of login.
- A passcode requested inside Workiz Pay may be protecting a sensitive account action.
Do not reset the password merely because the second screen appears. Workiz has already advanced to a verification stage.
For a missing login code, verify that the registered phone belongs to the user and can receive text messages. Then check whether the company recently changed the employeeโs phone number or enabled 2FA for the whole team.
One warning deserves emphasis: do not provide the code to another person. An administrator may help correct the profile, but the employee should enter the passcode directly into the Workiz screen.
Payment-account changes should remain limited to an authorized owner or representative.
Login Works but Jobs Are Missing
A successful login with no expected appointments points away from the password.
Workiz allows companies to restrict users to assigned jobs. It also permits dashboard and financial-data restrictions, which means a technicianโs workspace may be narrower than a dispatcherโs.
Ask the dispatcher to check one specific job:
- Was it created?
- Is the date correct?
- Is it assigned to the affected technician?
- Is the technician restricted to assigned jobs?
- Is a schedule filter active?
- Did the user enter another workspace?
Use a named appointment rather than saying the entire schedule is broken. That gives the administrator a record to compare across accounts.
A technician who sees three assigned jobs while the dispatcher sees twenty company jobs may have exactly the intended access. A technician who cannot see a job assigned to that profile needs a closer review of the assignment, role, and workspace.
Password recovery will not alter any of those settings.
Why Settings or Financial Tools Are Missing
Workiz roles can limit dashboard information, financial data, client history, payment actions, and account settings. The companyโs Help Center groups these controls under user and role management.
This can produce several legitimate differences:
- Owners see company-wide data.
- Dispatchers manage schedules without bank settings.
- Technicians see assigned jobs but not broad financial reports.
- Selected users can charge cards without managing Workiz Pay configuration.
- Some users have no access to account-level features.
Check the role first, skip reinstalling the application.
A browser or app reinstall can repair damaged local data, but it cannot grant server-side authorization. Ask the administrator to compare the affected employeeโs Workiz role with a working employeeโs role.
Compare permissions, not job titles.
Browser and Mobile Troubleshooting
Use the browser and mobile app as comparison tools.
When the browser works but the mobile app fails, update the app through its official marketplace, close it completely, reopen it, and test another network.
When mobile works but the browser fails, open a private browsing window and test another current browser. A stored session, extension, or saved login method may be interfering.
When both reject the user, inspect:
- Login email
- Authentication method
- Password recovery
- 2FA destination
- Enabled profile status
When both open with the same missing tools, inspect the workspace, assignments, role, and company configuration.
Change one variable at a time. Record the exact error before clearing data or reinstalling anything.

Workiz states that the quickest support route is the chat bubble in the lower-right corner of the Help Center or web application. Its official support documentation also lists support@workiz.com and (855) 790-7363.
The current Workiz contact page lists support hours as 5 a.m. to 6 p.m. Pacific Time Monday through Friday and 8 a.m. to 5 p.m. Pacific Time on weekends. Hours may change, so check the contact page before relying on them.
Include:
- Company workspace name
- Affected employee
- Login method
- Web, iPhone, or Android
- Exact error wording
- Approximate time of failure
- Whether recovery email arrived
- Whether the 2FA code arrived
- One example of a missing job or feature
- Troubleshooting already completed
Do not include passwords, OTPs, complete card details, banking credentials, or private customer records.
Use customer support for technical faults. Workiz distinguishes that service from customer success, which focuses on product guidance and business practices.
