Workiz team members can access their workspace with a username and password or a connected Google or Facebook account. Two-factor authentication may add a temporary code sent by text message or email.

Workiz is field service management software for businesses that schedule and dispatch technicians, track work orders, manage customer records, create invoices, and process payments.

Confirm That You Need the Team Login

Workiz has separate experiences for company users and the customers of those companies.

Owners, administrators, dispatchers, office employees, and technicians use the internal Workiz workspace. Customers normally receive a secure Client Portal link by text or email, with no separate application download or conventional account login required. The portal can display appointments, estimates, invoices, payment options, job history, documents, and service plans when the business shares them.

Check your role first.

A customer who opens the employee login page may conclude that a valid invoice link is broken. An employee who opens a customer portal link may enter the wrong area and see none of the company’s scheduling or dispatch tools.

The pages are both connected to Workiz, but they are built for different people.

Customers should return to the complete link sent by the service company. Team members should use the company workspace and the authentication method attached to their user profile.

Choose the Existing Authentication Method

Workiz documents three login methods:

  • Username and password
  • Google authentication
  • Facebook authentication

Use the route previously connected to your profile.

Selecting Google with a different email may lead to another account or an unfamiliar setup flow. Entering a manually created password may fail when the employee normally authenticates through a third-party account.

Do not create a duplicate user simply to get past the login screen. The second profile may open successfully but contain no company jobs, customer records, or permissions.

Ask the administrator to verify the exact login email and authentication method before changing anything. This is the highest-priority check; skip an app reinstall until the account identity is settled.

Reset Your Workiz Password

A locked-out user can select Forgot password? on the Workiz login page, enter the login email, and select RESET PASSWORD. Workiz sends password-change instructions when the entered address matches an account in its system.

Check the mailbox stored in the Workiz profile, including spam and filtered-message folders. Workiz identifies that profile address as the email used for login and password recovery.

Wait before sending another request.

Several reset messages can arrive at different times. Repeated requests may leave the user opening an older message rather than the latest recovery link.

An authorized administrator can also initiate a reset for another user. Workiz documents the path as profile icon > Manage team, followed by the user and Actions > Reset password. The team member then receives an email link for setting the replacement password.

The manager does not need the employee’s existing password. Do not disclose it.

Fix an Incorrect Login Email

A password reset cannot reach an email address that is misspelled, disabled, or no longer controlled by the employee.

Workiz allows authorized users to update the Email field in a team member’s profile. This option requires the User settings permission. After the administrator confirms the change, Workiz sends a password-reset link, and the recipient must update the password to complete the email change.

That final step is easy to miss.

Changing the visible field does not finish the process by itself. The employee should find the new Workiz message and follow the reset instructions before attempting normal login with the updated address.

When the administrator cannot see the email setting, inspect the administrator’s role. The missing option may reflect insufficient User settings permission rather than a malfunction.

Do this before opening a support ticket. Skip repeated resets until the destination address has been confirmed character by character.

Resolve Workiz 2FA Problems

Workiz two-factor authentication requires a one-time passcode in addition to the password. The current help documentation says the code may be delivered to a mobile phone or email address. Workiz recommends enabling 2FA to help protect company and customer data.

A missing code can result from:

  • An outdated mobile number
  • An inaccessible email account
  • A phone that cannot receive text messages
  • Delayed carrier or mail delivery
  • Incorrect profile information
  • Use of an unsuitable Workiz Phone number

The code screen usually means that the preceding authentication stage has already been accepted. Resetting the password again may not solve a delivery problem.

Check the verification destination.

Workiz specifically says not to use a Workiz Phone number for 2FA because messages to that number are accessible only after login. That creates a loop in which the user cannot retrieve the code required to enter the account.

Use a separate mobile number capable of receiving SMS without Workiz access.

Never share a login code with a coworker, administrator, or caller. Enter it only into the Workiz authentication screen that requested it.

Check Whether the User Was Disabled

A former or temporarily inactive team member may have a valid-looking email and password but no current access.

Workiz provides administrators with controls for disabling and later re-enabling team members. Its team-management resources list disabling users alongside password resets, role customization, assigned-job restrictions, financial-data controls, and dashboard restrictions.

This creates a useful administrative check:

  1. Confirm that the profile still exists.
  2. Confirm that it is enabled.
  3. Verify the login email.
  4. Review the assigned role.
  5. Initiate one password reset if needed.

Do not reuse a former employee’s account for a replacement worker. Separate profiles preserve cleaner job attribution, permissions, and account history.

A disabled profile is not fixed by clearing browser cookies. The account administrator must restore access through team management when reactivation is appropriate.

Login Works, but Features Are Missing

Workiz allows administrators to control what each user can see and do. Its user-management documentation includes restrictions for assigned jobs, financial information, dashboards, job closing, card charging, and client job history.

A technician may therefore log in and see:

  • Only jobs assigned to that profile
  • No company-wide dashboard
  • Limited financial information
  • No payment-management controls
  • Fewer settings than a dispatcher
  • No access to selected client history

This is authorization, not authentication.

Compare the affected user’s role with another employee who has the required access. Compare role settings, not informal job titles. Two workers called technicians may have different permissions.

Check permissions before reinstalling the mobile app. A local installation cannot enable a feature restricted on the Workiz account.

Some features also depend on company configuration or subscription. Workiz currently offers different plans, optional add-ons, and per-member pricing structures, so visible functionality can vary between businesses.

Browser and Mobile Troubleshooting

The official Workiz mobile application supports access to daily jobs, communications, and administrative tasks from the field.

Testing the same account on web and mobile can separate account problems from device problems.

Web works, mobile fails: update the app through the official store, close it fully, reopen it, and test another network.

Mobile works, web fails: open a private browser window, test another current browser, and check whether an extension is interfering with cookies or authentication.

Both reject access: verify the login method, profile email, password, 2FA destination, and enabled-user status.

Both open with limited features: inspect the role, permissions, plan, and workspace.

Change one item at a time. Recording the exact error and failed stage gives an administrator or support agent more useful information than a general report that Workiz is not working.

Workiz Pay Requires Separate Authority

Workiz Pay is used to collect customer payments through Workiz workflows. Connecting or changing the receiving business bank account is a separate payment-account action.

Ordinary team access does not mean every employee should manage payment settings.

When a user can access jobs but cannot see banking or payout controls, the company should check permissions and account configuration first. Do not create another Workiz account or submit new payment information to an unofficial page.

Payment changes should be completed only inside the authenticated Workiz account by an authorized business representative.

Do not include bank login credentials, complete card details, account passwords, or 2FA codes in an ordinary support message.

Before contacting support, collect:

  • Company or workspace name
  • Affected user’s name
  • Login email
  • Authentication method

  • Exact error wording
  • Approximate failure time
  • Whether password email arrived
  • Whether the 2FA code arrived
  • Whether the profile is enabled
  • Whether other users are affected

Keep authentication secrets out of the report.

For a single user, check the profile before assuming a system-wide failure. When several users fail on different devices and networks at the same time, report that shared pattern because it points away from one employee’s password.
