Finding the Correct Workiz Login and Fixing Access

Workiz team members enter their company workspace through the Workiz web application or official mobile app. Customers who received an estimate or invoice usually need the unique Client Portal link sent by the service business instead, not the employee login screen.

Decide Which Workiz Page You Need

The fastest route depends on who you are.

An owner, dispatcher, technician, or office employee needs access to the company’s internal Workiz workspace. Workiz’s login documentation says this process requires a username and password, unless the profile uses supported Google or Facebook authentication. A one-time passcode is also required when two-factor authentication is active.

A customer has a different route. Workiz describes its Client Portal as a customer-facing hub for appointments, estimates, invoices, payments, and account information. Access is normally provided through a link sent by the service company.

Do not mix them.

Opening the general Client Portal address without a valid business-specific link may produce a page-not-found message. That does not prove that Workiz is unavailable or that an invoice has disappeared. Return to the email or text sent by the service provider and use the included link.

Employees should skip customer invoice links and return to the web application at app.workiz.com.

Use the Login Method Already Connected to Your Profile

Workiz supports three documented authentication routes:

  • Username and password
  • Google authentication
  • Facebook authentication

Choose the method previously used with the employer’s account.

A Google button appearing on the page does not mean every Workiz profile is connected to Google. Selecting it with the wrong address may open another account, begin registration, or lead to a workspace without the expected jobs.

Do not create a second profile to solve a login failure.

Ask the administrator which email address and authentication route were assigned. This check should come before reinstalling the app or requesting several password resets.

A duplicate profile may technically open Workiz while showing no clients, schedule, permissions, or company records. The login worked, but it reached the wrong account.

Reset a Forgotten Workiz Password

Workiz places a Forgot password? option on its login page. Select it, enter the login email, and choose RESET PASSWORD. If that email matches an account, Workiz sends instructions for choosing a replacement password.

Check the exact mailbox connected to the profile.

An employee may regularly use several addresses, but only the login email stored in Workiz receives the recovery message. Review spam, automated-message, and company-security folders before submitting another request.

Wait briefly.

Several reset requests can produce multiple messages, making it difficult to identify which link belongs to the current recovery attempt. Use the newest relevant message and avoid forwarding it to another person.

An authorized administrator can also begin a reset for a team member. Workiz documents the route through the profile icon, Manage team, the affected user, and Actions > Reset password. The employee receives the reset link and selects the new password.

The administrator does not need the existing password.

When No Password-Reset Email Arrives

Start with the account record, not the browser.

Workiz identifies the email saved in a user profile as an important login detail. If that address is outdated, misspelled, or inaccessible, the recovery instructions cannot reach the intended person.

Ask an authorized administrator to inspect the employee’s profile. Confirm the complete address character by character rather than relying on the employee’s name or the company’s email format.

Two mistakes occur often:

  1. The profile contains a former work address.
  2. The employee checks a personal inbox while Workiz uses a company inbox.

Changing browsers will not correct either problem.

Mail delivery can also be delayed or filtered by a company’s security system. Check whether other automated Workiz messages reach the same domain before concluding that the account does not exist.

Do this first: confirm the destination. Skip repeated recovery attempts until the email record is known to be correct.

Fix a Missing Workiz Verification Code

Two-factor authentication requires a verification code in addition to the password. Workiz’s current documentation says the code may be sent to the mobile phone number or email address used for 2FA.

The contact details may need correction when:

  • The employee changed mobile numbers
  • The profile contains an office line
  • The phone cannot receive SMS
  • The employee lost access to the registered device
  • The verification email goes to an inaccessible inbox

Workiz published separate instructions for changing the phone number used for 2FA on June 3, 2026. That recent document confirms that the verification destination can be updated as an account-security task rather than treated as a password problem.

The appearance of the code screen also tells you something useful. The system has usually accepted the preceding login stage, so changing the password again may not address the actual failure.

Focus on code delivery.

Workiz warns administrators that 2FA affects each team member’s login and that the passcode is tied to the contact information saved on the profile.

Never send a verification code to a manager, coworker, or person claiming to be support.

Avoid Using Workiz Phone as the 2FA Number

Workiz Phone is a communication product within the broader platform. Its FAQ recommends using an external number for certain fallback functions and treats Workiz Phone numbers differently from ordinary outside phone lines.

Using an account-dependent business number for login verification can cause practical trouble. The user may need to enter Workiz before reaching messages delivered through Workiz.

Use a separate mobile number that can receive texts independently of the Workiz session.

This is especially important before a company turns on 2FA for an entire team. Administrators should review each employee’s saved number and email first, then enable the requirement.

The check takes minutes. Repairing several locked profiles takes longer.

Why Workiz Opens but Looks Empty

A nearly blank account does not always indicate deleted company data.

Possible explanations include:

  • The user entered a different workspace
  • A duplicate profile was created
  • The employee has limited permissions
  • Jobs are assigned to other technicians
  • A filter is narrowing the visible schedule
  • The company has not finished adding the user

Workiz supports role-based user management, and its Help Center contains separate controls for user profiles, account settings, and access.

Ask the administrator to compare the affected employee with another user who has the same role. Compare the workspace, login email, assigned permissions, and job assignments.

Do not compare job titles alone.

Two people called “technician” may have different Workiz roles. One may need only assigned appointments, while another has authority to create invoices, review client history, or collect payments.

A password reset cannot widen those permissions.

Mobile App Login Versus Browser Login

Workiz offers mobile applications through Apple’s App Store and Google Play. The listings describe mobile access to daily jobs, scheduling, invoicing, payment processing, communication, and other field-service functions.

Testing both platforms can isolate the problem.

Browser works, app fails: inspect the app version, stored session, device, or mobile network.

App works, browser fails: inspect browser cookies, extensions, saved credentials, or the selected sign-in method.

Both reject the account: check the login email, password, authentication method, and 2FA destination.

Both open but lack tools: check the workspace and permissions.

Update the app through its official store. Fully close it, reopen it, and test one other network. For browser trouble, use a private window and one other current browser.

Change one variable at a time. Otherwise, a successful fix will not reveal what was wrong.

Client Invoice Link Not Working

Workiz says customers receive invoices through email or text messages containing a link to view the invoice in the customer portal.

When that link does not open:

  • Return to the original message
  • Use the complete link rather than a copied fragment
  • Ask the service company to resend the invoice
  • Try another current browser
  • Confirm that the business has not replaced or canceled the document

The customer should contact the service provider first because that business created and sent the invoice. Workiz support may not be able to make decisions about the underlying job, balance, or estimate on behalf of the service company.

Do not search for a universal Client Portal login and enter payment information there. The customer experience is tied to the unique link supplied by the relevant business.

Workiz Pay Is Not the Regular Login

Workiz Pay is the payment component of the Workiz platform. Its official documentation describes it as a way for businesses to collect customer card payments while working in the field or through estimates and invoices.

Access to Workiz does not automatically mean the employee can configure Workiz Pay. Payment activation and account management involve separate business settings and may be limited to authorized company representatives.

A technician who cannot see a payment setting should ask the owner or administrator to inspect permissions. Do not create another Workiz account or submit a second payment application merely because a menu is absent.

Payment and banking changes deserve extra caution.

Complete them only inside the authenticated Workiz account. Do not disclose passwords, verification codes, banking credentials, or complete payment-card details through an ordinary support message.

Workiz states that its quickest support route is the chat bubble in the lower-right corner of the Help Center or web application. The official support article also lists support@workiz.com and (855) 790-7363.

Prepare a focused report:

  • Company or workspace name
  • Affected user
  • Sign-in method
  • Browser or mobile platform
  • Exact error wording
  • Approximate time of failure
  • Whether recovery email arrived

  • Troubleshooting already completed

Do not include a password, one-time authentication code, full payment-card number, bank login, or private customer document.
