Workiz Access Problems: Check the User Type First

Workiz users can enter their company workspace through the web application at app.workiz.com or the official mobile app. Before resetting a password, confirm that the person was added as a login-enabled user rather than under a limited subcontractor arrangement.

Workiz is field service management software used to organize jobs, technicians, customers, invoices, payments, and related service operations. Owners, dispatchers, managers, and field technicians may receive different account capabilities according to their assigned roles.

Determine Whether the Person Has Login Access

A worker appearing in a company’s Workiz team does not always mean that the person has individual login credentials.

Workiz distinguishes between paid users and free subcontractors. Paid users can generally log in with their own credentials and receive roles such as dispatcher, manager, or field technician. Free subcontractors have a narrower arrangement and do not receive the same account access.

Check this first.

A subcontractor may receive work-related communication or be connected to assigned jobs while remaining unable to open the full Workiz workspace. Reinstalling the mobile app, changing browsers, or repeatedly requesting a password will not create access that the profile type does not include.

An administrator adding a new team member is asked to choose a member type and permission level. Workiz’s current onboarding documentation covers users such as technicians, dispatchers, and managers and explains that access depends on how the person is added.

The administrator should verify:

  • The person was added to the intended company account.
  • The selected member type supports login.
  • The login email is accurate.
  • The correct role was assigned.
  • The profile remains enabled.
  • The person can access the registered email and 2FA destination.

Do not grant administrator access simply to make the account open. Select the narrowest role that supports the employee’s actual work.

Use the Existing Workiz Sign-In Method

Workiz documents standard username-and-password access through its web application. The platform also supports Google and Facebook authentication, while two-factor authentication can require an additional verification code.

Use the method already connected to the profile.

A worker who normally uses a standard login may select Google and reach an unrelated account flow. Someone whose account was connected through Google may waste time resetting a separate password instead of using the established authentication route.

Do not create another profile.

A duplicate profile may open successfully but contain none of the company’s expected jobs, customers, messages, or dashboard information. The user then appears to have an empty Workiz account even though the original workspace remains intact.

Ask the administrator which email and sign-in method were assigned. Skip registration until that information has been confirmed.

Reset a Forgotten Workiz Password

A locked-out user can select Forgot password?, enter the login email, and choose RESET PASSWORD. Workiz sends recovery instructions when the entered address matches an account.

Check the exact mailbox stored in the profile.

An employee may have a personal address, a company address, and a separate Google identity. Only the email connected to the Workiz user will receive the relevant reset message.

Review spam, quarantine, and automated-message folders before sending another request. Several reset attempts may generate multiple emails that arrive at different times, making it harder to identify the current recovery link.

Wait briefly.

An administrator can also start a password reset for another user through team management. Workiz lists password administration among its user-management functions.

The user should choose the replacement password personally. Managers and support agents do not need to receive the old password.

Why the Password Email Never Arrives

The login email may be wrong, inaccessible, or no longer active.

Workiz allows team members with the User settings permission to update login emails. After the address is changed, the affected person receives a password-reset link.

That email is part of the process.

A common mistake is editing the profile and immediately asking the employee to sign in normally with the new address. The recipient should first open the Workiz message and complete the password-reset step associated with the change.

When the administrator cannot see the email-editing option, check the administrator’s own role. Workiz states that the function is available only to users whose role includes User settings permission.

Prioritize the profile record. Skip browser troubleshooting until the recovery destination is correct.

Workiz Verification Code Not Arriving

Workiz two-factor authentication requires a code sent to a mobile phone or email address in addition to the password. Its current guidance recommends configuring email as a backup delivery method to reduce future login problems.

The verification screen narrows the diagnosis. The user has progressed beyond the initial credential stage, so another password reset may not solve the missing-code problem.

Check:

  • The phone or email connected to 2FA
  • Whether the phone can receive text messages
  • Whether the employee recently changed numbers
  • Whether company mail filters delayed the message
  • Whether backup email delivery was enabled

Never forward a verification code to another person. It should be entered only into the Workiz screen that requested it.

Workiz also notes that 2FA remains required for certain sensitive Workiz Pay changes even when it has been disabled for ordinary login.

A code request inside payment settings may therefore be expected rather than evidence of another login failure.

Why the User Sees Only a Few Jobs

Workiz can limit users to jobs assigned specifically to them. The default Tech role is one route for preventing a worker from seeing jobs assigned to other users, and businesses can also create or modify roles for their own requirements.

An incomplete schedule can mean:

  • The dispatcher assigned the job to another technician.
  • The job has not been assigned yet.
  • The worker is correctly restricted to assigned jobs.
  • A schedule filter is active.
  • The employee opened another workspace.

Ask the dispatcher to inspect one named job. Confirm its assigned user, date, status, and workspace.

Do not reset the password for this symptom. Authentication is already working.

Workiz also ties certain client messages to currently assigned jobs when the relevant messaging permissions are combined. A worker’s communication view may therefore change with job assignment and role settings.

That is a permissions issue, not lost account data.

Why Financial Details Are Hidden

Workiz allows administrators to restrict financial information by role while leaving jobs, schedules, and necessary customer information available.

A technician may therefore open an appointment but not see all prices, totals, costs, or broader company figures. The owner or manager may have intentionally separated operational access from financial access.

Check the role first, skip reinstalling the app.

A local installation cannot override account permissions. Compare the affected employee with another user who holds the same Workiz role rather than someone with a similar job title.

If both users have the same role but different views, inspect their individual profiles and workspace. If everyone lacks the feature, check the company-level configuration.

Why the Dashboard Is Missing

Workiz allows an administrator to prevent a role from viewing dashboard statistics. The setting is managed under Users & roles, Roles & permissions, and the relevant dashboard permission.

Dashboard widgets can also have their own visibility restrictions.

A dispatcher may see scheduling tools without the company-wide performance widgets available to the owner. A field technician may enter the workspace and go directly to the operational areas required for daily jobs.

This can be normal.

Do not treat a missing dashboard as proof that the login failed. Confirm whether the employee can open assigned work and perform permitted actions.

Why Client History Is Unavailable

Technician access to previous client jobs is controlled at the role level. Workiz says the permission applies to all users assigned to that role.

This matters when a technician can see the current appointment but not the customer’s earlier service history.

The administrator should decide whether the role needs that information. Previous job details may be useful for diagnosing recurring work, but client history should not be exposed broadly when it is unnecessary for the employee’s duties.

Enable the specific permission if the workflow requires it. Skip broad account access.

Employee Workspace or Client Portal?

Workiz’s Client Portal is intended for the customers of service businesses. When a company sends an invoice or estimate through Workiz, the message can include a link to the portal.

A customer uses that link to view the relevant documents and available service information. The customer does not need the internal employee workspace.

An employee who opens an invoice link has reached the wrong side of the platform. A customer who searches for the team login has done the reverse.

Identify the user before beginning password recovery.

The correct page can eliminate the entire “login problem” without changing the account.

Test Web and Mobile Separately

Use the web application and mobile app as comparison points.

When the browser works but the app fails, update the app through the official marketplace, close it fully, reopen it, and test another network.

When mobile works but the browser fails, open a private window and try another current browser. Stored sessions or extensions may interfere with authentication.

When both reject access, check the user type, login email, sign-in method, password recovery, and 2FA destination.

When both open with the same missing information, move directly to roles, assignments, and permissions.

Change one item at a time. An exact error message and a known failed stage are more useful than several simultaneous changes.

Workiz identifies the chat bubble in the lower-right corner of its Help Center or web application as the easiest and quickest way to reach support.

Prepare:

  • Company or workspace name
  • Affected user
  • User or subcontractor profile type
  • Assigned role
  • Web, iPhone, or Android
  • Exact error wording
  • Approximate time of failure
  • Whether the reset email arrived
  • Whether the 2FA code arrived
  • One example of a missing job or feature

Do not include a password, one-time code, complete card number, CVV, banking credentials, or private customer documents.

Report where the process stops. “The password is rejected” requires a different investigation from “login works, but only assigned jobs appear.”
