How to Access Workiz and Fix Common Login Problems

Workiz is field service management software for scheduling, dispatching, jobs, estimates, invoices, payments, customer records, and team communication. Business users can sign in through the Workiz web app or mobile application, while customers may receive a separate Client Portal link from the service company.

The main task is to identify the correct account and sign-in route before resetting anything. A technician login, administrator account, customer portal, and new-trial registration do not lead to the same workspace.

What is Workiz?

Workiz is a field service management platform designed for businesses that send technicians to customer locations. Its published functions include scheduling, dispatching, work-order management, invoicing, online payments, customer management, reporting, communications, and mobile access.

Office staff can use the system to schedule and assign work. Field technicians can review jobs and communicate from the mobile app. Customers can be sent estimates, invoices, payment requests, and access to a Client Portal where supported by the service business.

Those users may all see the Workiz name, but their access is different.

Where is the Workiz login?

The documented Workiz web login is reached through app.workiz.com. Users enter their username and password, select Log in, and may then be asked for a one-time passcode when two-factor authentication applies.

Mobile users should download the Workiz app from the Apple App Store or Google Play Store, open it, and sign in with the credentials assigned to their Workiz user. The mobile flow can also include a one-time passcode.

Use the business login when an employer or company administrator created the user account.

A customer trying to approve an estimate or pay an invoice may instead need a business-specific Client Portal link. Workiz describes that portal as a place where customers can view past and upcoming services, approve estimates, sign documents, pay invoices, and review payment history.

Do this first: open the link supplied by the employer or service company. Skip generic portal pages that may belong to another Workiz business.

How to reset a Workiz password

Workiz documents two password-reset paths.

While logged in, select Team, open the user profile, choose Reset password, enter the current and new passwords, and select Change. While logged out, open the login page, select Forgot password?, enter the login email address, and select RESET PASSWORD.

When the email matches a Workiz user, the system sends password-change instructions to that address.

Check the login email first.

The email stored on the user profile is used for account access and password-reset messages. A user who enters a personal address while the account uses a work address may never receive the expected message.

Do not create a second technician account because one reset email is missing. Ask the account administrator to confirm the existing user and its assigned email.

How an administrator resets another user

Workiz lets an authorized account user reset another team member’s password. The documented path is profile icon, Manage team, select the user, then Actions and Reset password. The team member receives an email containing a link to set a password.

This is useful when a technician cannot complete self-service recovery.

Keep the original user.

A duplicate account can separate assignments, job history, notifications, permissions, and activity between two profiles that represent the same employee.

Updating the Workiz login email

Workiz allows authorized users to update a team member’s login email from the user-management area. The documented process involves selecting the user, changing the Email field under User details, and confirming with Yes, make change. A password-reset link is then sent so the change can be completed.

The option requires the User settings permission. Users who cannot see it are directed to contact their administrator.

This is a named access friction, not a browser failure.

Do not keep searching for the field under a limited technician account. Confirm that the person making the change has the required permission.

Updating the existing email is usually cleaner than deleting and recreating the user because the original profile remains connected to its operational history.

Why Workiz asks for a one-time passcode

Workiz’s login documentation says a one-time passcode may be required after the username and password are accepted. The user profile includes a phone number used for two-factor authentication codes, and Workiz advises ensuring that the number can receive text messages.

A missing code can therefore come from the user profile rather than the password.

Check:

  • The account reached the passcode stage.
  • The phone number on the user profile is current.
  • The number can receive text messages.
  • The user is signing in to the intended account.
  • The administrator has not created a replacement profile with different details.

Skip repeated password resets when the password has already been accepted.

A password problem occurs before the passcode stage. A code-delivery problem occurs after it.

Using Workiz on mobile devices and tablets

Workiz offers native mobile apps for iOS and Android. Its mobile product is built for reviewing daily jobs, managing communication, handling field activity, and accessing business records away from the office.

Workiz also documents two tablet options: install the mobile application from the device’s app store or access the web app through the tablet browser. This applies to devices such as iPads, Galaxy Tabs, and other Android tablets.

The two experiences may not be identical.

The native app is designed for mobile field use. The browser may expose a layout closer to the desktop web application, depending on the device and current interface.

Test the required workflow before issuing tablets to the full team. Skip assuming that every desktop function will be equally convenient in a smaller browser window.

Why a technician cannot see a job

A successful login does not guarantee that every company record appears for every user.

The user may not be assigned to the job. The job may be scheduled for another date, attached to another team member, or restricted by the user’s role. A technician may also be signed into another Workiz account created during training or an earlier trial.

Check the original job in the office account first.

Do not rebuild the job merely because it is absent from one phone.

A duplicate job can produce another appointment, estimate, invoice, customer message, or payment request. Locating the original record is safer than recreating it.

Client Portal versus employee login

The Workiz Client Portal is customer-facing. Workiz says clients can review appointments, approve jobs and estimates, sign documents, pay individual invoices or multiple balances, and inspect their payment history.

The portal is not a technician account.

A homeowner or commercial client should use the portal link sent by the service company. An employee should use the Workiz web or mobile login provided by the employer.

This distinction prevents two common mistakes:

  • A customer tries to use the employee login to find an invoice.
  • A technician opens a customer portal and assumes the business account is missing.

Use the company-provided route. Skip account registration unless the user is actually creating a new Workiz business subscription.

Workiz pricing and trial terms

Workiz’s current pricing page lists a seven-day trial and says no credit card is required for that trial. The published paid plans include monthly and annual billing options, with the first group of users included according to the selected plan.

The official page currently shows plan differences involving scheduling, automations, invoices, jobs, estimates, online payments, reports, local numbers, QuickBooks Online, custom fields, location tracking, service areas, subcontractor management, lead tracking, and AI-related tools.
